Full Job Description

POSITION DESCRIPTION

POSITION TITLE: Data Entry

REPORTS TO: Director of Children's Services

SUPERVISES: None

FLSA STATUS: 30 hrs./week

POSITION PURPOSE:

The Data Entry Specialist supports the successful operation of the SOS Parents as Teachers (PAT) Program by serving as the primary point of contact for referrals, maintaining accurate program data, and supporting family engagement efforts. This position ensures timely follow-up with prospective and waitlisted families, manages referral and enrollment tracking, maintains documentation in Visit Tracker (VT), and facilitates communication through newsletters and outreach activities. The Data Entry Specialist plays a critical role in supporting program recruitment, retention, and service delivery while ensuring data quality and compliance with Parents as Teachers and funding requirements.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Customer Service:
Serve as the first point of contact for families interested in participating in the SOS Parents as Teachers (PAT) Program, providing professional and courteous customer service.
Greet visitors and assist with customer service needs, including opening the front door and welcoming guests at the Belleville location.
Receive, enter, and track PAT referrals from MDHHS, internal SOS programs, and community partners.
Maintain the PAT recruitment pipeline, including assigning referrals, managing the waitlist, and updating family status in Visit Tracker (VT).
Conduct outreach and follow-up with prospective and waitlisted families, ensuring a minimum of two documented contacts per month with waitlisted families.
Facilitate and distribute the monthly PAT newsletter and other program communications to recruit and waitlisted families.
Assist the Children's Services Department with data entry and maintenance of records in Visit Tracker (VT) and other required databases.
Ensure timely, accurate, and complete documentation of referrals, contacts, outreach efforts, and family status updates.
Provide Resource Navigation services to families and connect them with community resources and supports as appropriate. Training will be provided through MDHHS.
Support program recruitment, enrollment, retention, reporting, and quality improvement efforts through accurate data management and family tracking.
Maintain confidentiality of client information and comply with all agency, funding source, and program requirements.
Collaborate with Parent Educators, Family Resource Center staff, and the Director of Children's Services to ensure coordinated service delivery.
Perform other duties and special projects as assigned by the Director of Children's Services.

Perform other duties as assigned to support agency operations and program success.

BASIC QUALIFICATIONS:

Associate's Degree required; degree in Human Services, Social Work, Early Childhood Education, Business Administration, Communications, or a related field preferred.
Minimum of two years of relevant administrative, customer service, data entry, social services, or related experience.
Ability to work effectively with individuals from diverse cultural, socioeconomic, and ethnic backgrounds.
Strong verbal and written communication skills with the ability to communicate clearly, professionally, and effectively.
Demonstrated ability to exercise discretion, diplomacy, tact, and professionalism when handling sensitive and confidential information.
Knowledge of Wayne County and Washtenaw County community resources preferred.
Strong organizational, planning, and time-management skills.
Ability to establish priorities, manage multiple tasks, and meet deadlines in a fast-paced environment.
Ability to maintain accurate records and perform work with a high degree of attention to detail and follow-through.
Ability to work independently while also contributing positively to a team environment.
Flexibility and adaptability in responding to changing priorities and program needs.
Strong problem-solving and critical-thinking skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Docs, Sheets, Calendar).
Experience working with databases and data management systems preferred; experience with Visit Tracker (VT), Mi Bridges, or similar systems is a plus.
Ability to type accurately and efficiently.
Ability to lift and carry up to 50 pounds on an occasional basis.
Bilingual proficiency in English and Spanish and/or English and Arabic preferred.
Commitment to serving vulnerable, minority, and low-income populations with dignity, respect, and cultural humility.
Ability to maintain compliance with the Drug-Free Workplace Act, confidentiality requirements, and all applicable federal, state, and local laws governing professional conduct.

Job Type: Part-time

Pay: $18.00 - $20.00 per hour
