Full Job Description

Job Overview:

The Payroll Coordinator is responsible for accurate and timely payroll processing across three operating locations: Amaterra Winery in Portland, Amaterra Kitchen and Social Club in Bend, and RiverPlace Hotel in Portland. The associate population includes hourly, tipped, and salaried team members across winery production, tasting room, restaurant, events, retail, and lodging operations, with significant seasonal variation during harvest and peak event periods. The role owns payroll reconciliation to the general ledger, labor cost reporting by department and location, and payroll recordkeeping and compliance, and provides administrative support to the Senior Accountant on winery tax filings and license renewals. Ad-hoc projects will be assigned as required.

Qualifications:

· Working knowledge of payroll processing, including tipped wages, service charges, commissions, overtime, and shift differentials

· Understanding of federal and state wage and hour regulations, garnishments, and payroll tax filings

· Experience processing payroll for a high-turnover hourly and seasonal workforce

· Ability to reconcile payroll to the general ledger and prepare supporting schedules

· Ability to manage recurring filing and payment deadlines with no missed dates

· Exceptional accuracy, recordkeeping discipline, and attention to detail

· Absolute discretion in handling confidential payroll and associate information

· Able to work autonomously and manage competing deadlines

· Able to work in a team environment and have excellent inter-personal skills

· Ability to effectively communicate with departmental managers, associates, and outside partners

· Excellent organizational skills

Essential Duties & Responsibilities:

Payroll Processing

· Process payroll on the established cycle for hourly, tipped, and salaried associates across all three locations

· Review and reconcile timekeeping records, tips, gratuities, service charges, and overtime with department managers

· Calculate, verify, and process commissions, including wine club, tasting room, events, and reconcile to supporting sales reports

· Process new hires, terminations, pay changes, garnishments, and benefit deductions

· Audit payroll registers prior to transmission and resolve exceptions with managers

· Coordinate seasonal and event staffing payroll, including high-volume onboarding during harvest and peak event periods

· Serve as the first point of contact for associate payroll questions

Payroll Accounting & Compliance

· Reconcile payroll to the general ledger and prepare payroll accruals, PTO liability, and supporting schedules for month-end close

· Verify payroll tax deposits and quarterly and annual filings, including W-2 processing, in coordination with the payroll provider

· Prepare labor cost reporting by department and location in support of management review

· Maintain payroll records in compliance with federal and state retention requirements

· Support wage and hour compliance, including meal and rest period tracking and required pay notices

Compliance Support

· Provide administrative support to the Senior Accountant on winery tax filings and license renewals

· Assist with tracking filing and renewal due dates, and flag upcoming deadlines to the Senior Accountant

· Assist with documentation gathering, signature routing, and submission tracking for license applications and renewals

Additional Duties & Responsibilities:

· Attend meetings as requested

· Support internal and external audits and regulatory inquiries with payroll documentation

· Partner with People Services on onboarding, benefits enrollment, and associate data accuracy

· Identify and recommend process improvements and automation opportunities within the payroll workflow

· Assist with month-end closing and other related responsibilities as assigned

· Perform special projects and other related responsibilities as assigned.

Experience & Education:

· Two or more years of payroll processing experience, preferably in hospitality, restaurant, winery, or multi-location environments

· High school diploma required; associate or bachelor degree, or equivalent work experience, preferred

· Experience with payroll and timekeeping systems (ADP, Paylocity, UKG, Toast, or similar)

· Exposure to alcohol beverage licensing or regulatory filings a plus but not essential to the role

· Proficient systems knowledge of MS Office, with strong Excel skills
