Job Posting: Practice Administrator at Springfield Orthopaedic and Sports Medicine Institute

Location: Springfield, OH

Position Overview:
Springfield Orthopaedic and Sports Medicine Institute (SOSMI) is seeking a highly motivated and experienced Practice Administrator to oversee all aspects of practice management and contribute to the continued growth and success of our organization. This dynamic role requires a strong leader who can manage day-to-day operations, improve business efficiency, and drive revenue cycle management. The Practice Administrator will ensure that the practice operates in a compliant, cost-effective, and efficient manner, aligning with both the physician’s expectations and SOSMI’s financial goals.

Key Responsibilities:

Practice Management & Operations:
Administer policies and procedures for practice and support staff
Develop and implement practice management systems and electronic health records
Manage recruitment, staff training, performance evaluations, and ongoing professional development
Oversee facility and equipment maintenance, IT troubleshooting, and vendor management
Ensure smooth day-to-day operations, including scheduling, billing, and customer service
Financial Oversight:
Set and manage the practice’s annual budget
Oversee billing, insurance, and collections to ensure compliance with financial goals
Review practice invoices and submit payments
Manage payroll, employee benefits, and other financial functions
Prepare monthly and yearly financial reports for management review
Staff Leadership & Development:
Supervise and manage all administrative and support personnel
Handle recruitment, job descriptions, performance reviews, and professional development
Act as a liaison between management and employees, facilitating communication and resolving issues
Create and enforce office policies, including HIPAA and OSHA compliance
Revenue Cycle Management:
Oversee the complete revenue cycle process, from patient registration to payment posting
Ensure insurance reimbursements are accurate and up-to-date
Review insurance payments and resolve discrepancies
Marketing & Community Relations:
Manage and promote SOSMI’s marketing initiatives
Build and maintain positive community relations
Facility & Equipment Maintenance:
Ensure proper maintenance of office facilities, equipment, and supplies
Coordinate with vendors and IT for system upgrades, repairs, and troubleshooting
Maintain inventory control for office supplies and medical forms

Qualifications:

Bachelor's degree in Business Administration, Healthcare Management, or related field (or equivalent experience)
Minimum of 5 years of experience in practice management, healthcare administration, or a related field
Strong understanding of healthcare operations, insurance billing, and revenue cycle management
Proven leadership skills with the ability to manage and motivate staff
Ability to create and implement policies and procedures
Strong problem-solving skills and the ability to manage multiple tasks simultaneously
Experience with EHR systems and practice management software (Allmeds, APMe, CAQH, etc.)
Knowledge of OSHA, HIPAA, and healthcare compliance regulations
Exceptional organizational, communication, and interpersonal skills
