Job Overview
Billing Analyst

Gray Operations Group is seeking a detail-oriented and dependable Billing Analyst to support the billing and accounts receivable functions for clients of Gray Operations Group. This role is responsible for the accurate and timely preparation of invoices, resolution of billing discrepancies, and follow-up on outstanding payments. The ideal candidate brings a solid understanding of government contracting billing requirements, strong organizational skills, and a high degree of professionalism when interacting with both internal teams and external clients.

Description

The Billing Analyst is responsible for preparing and submitting accurate invoices in accordance with company billing practices and contract requirements. This includes reviewing contract terms, collecting supporting documentation, and coordinating with program and finance teams to ensure all billing is complete and compliant prior to submission.

The Billing Analyst identifies and resolves invoicing errors and discrepancies in reporting in a timely manner. This role is expected to maintain a high degree of accuracy and flag issues proactively, escalating as needed to ensure client invoices reflect actual work performed and are submitted on schedule.

The Billing Analyst monitors and follows up on past due accounts receivable balances across all client accounts. This includes maintaining organized records of outstanding invoices, communicating professionally with clients regarding payment status, and working with the finance team to reconcile payments as they are received.

The Billing Analyst provides regular progress updates to ensure visibility into billing status and any outstanding issues. This includes participating in regular finance team check-ins, maintaining accurate records in the applicable systems, and communicating clearly with leadership on any concerns that could impact cash flow or client relationships.

Education

A college degree is preferred. Candidates with a High School Diploma or GED and directly relevant work experience will also be considered.

Experience

A minimum of three years of billing experience is required, with government contract billing experience required. Candidates should have a working knowledge of government contract types including Firm Fixed Price (FFP), Time and Materials (T&M), Cost Plus Fixed Fee (CPFF), and Fixed Price Level of Effort (FPLOE). Prior experience in a professional office environment and comfort communicating by phone with clients and staff is expected.

Knowledge and Skills

The ideal candidate will have familiarity with government and commercial contract structures and a general understanding of accounting principles as they relate to contract billing. Experience with Unanet is strongly desired. Candidates should be highly organized, able to manage multiple billing cycles simultaneously, and comfortable working independently in a remote or hybrid environment. Strong written and verbal communication skills are essential, as this role interacts regularly with both internal stakeholders and external clients.
