Full Job Description

Position Overview

We are seeking a highly organized and dependable Front Desk Administrator/Marketing Assistant to manage daily office operations, answer phones, lead generation and coordination, and handle all aspects of marketing. This role is the first point of contact for customers and plays a key role in maintaining organization, communication, and follow-through within the company.

The ideal candidate is detail-oriented, comfortable with technology, adept with AI and able to manage multiple responsibilities in a fast-paced environment. Microsoft Office Suite skills are a must. Familiarity with email contact management software and CRM a plus.

Core Responsibilities

Front Desk and Office Administration

Answer inbound calls and respond to customer inquiries
Schedule estimates and manage appointment calendar
Maintain accurate customer records
Coordinate communication between sales and installation teams
Track incoming leads and ensure proper assignment

Lead Tracking

Monitor appointment confirmations and follow-ups
Maintain reporting spreadsheets
Track sales rep appointment activity

Marketing & Social Media Support

Create and post sales and marketing content to Facebook and Instagram on a consistent basis
Respond to basic social media inquiries
Upload photos of completed projects
Handle updates to Google Business Profile
Google Ads reporting

Qualifications

Strong organizational and communication skills
Comfortable using Google Workspace (Docs, Sheets, Calendar) in addition to proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Experience with posting marketing content to social media platforms
Strong creative abilities and comfortable using AI
Professional phone presence
Ability to work independently and stay task-focused

Performance Expections

Ensure all inbound calls are handled professionally
Maintain accurate lead tracking and scheduling
Maintain consistent social media presence
Keep internal systems organized and up-to-date
Update marketing materials on a consistent basis

Job Types: Full-time, Part-time

Pay: $20.00 - $25.00 per hour
