VetSurg Outpatient Coordinator
Position Summary
The VetSurg Outpatient Coordinator is responsible for overseeing the daily operations and workflow of the Outpatient Department to ensure efficient, high-quality patient care and exceptional client service. This role serves as a clinical and operational leader by coordinating staff, scheduling patient care activities, maintaining department standards, and supporting communication between clinical teams.
The Outpatient Coordinator works closely with doctors, technicians, department coordinators, hospital leadership, and the Surgical Director to ensure patients receive safe, timely, and consistent care. This position requires excellent organizational skills, strong communication, sound clinical judgment, and the ability to lead by example while enforcing hospital policies and protocols.
Essential Responsibilities
Department Leadership
- Oversee the daily workflow of the Outpatient Department to ensure efficient patient care and staff utilization.
- Monitor department operations and proactively identify workflow challenges.
- Follow and consistently enforce VetSurg policies, procedures, and outpatient protocols.
- Promote a culture of teamwork, accountability, and patient safety.
- Serve as a resource for outpatient staff and collaborate with leadership regarding department needs and performance.
- Participate in performance coaching and employee feedback.
- Monitor inventory and equipment needs for the outpatient department.
Staff Scheduling & Coordination
- Assist management with scheduling Outpatient Technicians.
- Monitor daily staffing levels, meal periods, and workflow adjustments.
- Coordinate scheduling for:
- Outpatient drop-off appointments
- Outpatient technician appointments
- Outpatient procedures
- Imaging and diagnostic procedures in collaboration with Doctor's Assistants
- Recheck appointments in collaboration with the Patient Care team
Patient Care Oversight
- Confirm and coordinate implementation of surgeon-prescribed treatment plans.
- Ensure patients receive safe, timely, and appropriate outpatient care.
- Support and monitor quality standards for outpatient procedures and treatments.
- Review patient records for accuracy and completeness.
- Edit and finalize patient visit reports as needed.
- Record, monitor, and report patient complications to support quality improvement initiatives.
Communication
- Maintain professional, clear, and timely communication with:
- Clients
- Veterinary staff
- Department Coordinators
- Hospital Management
- Associate Surgeons
- Surgical Director
- Coordinate with other departments to ensure smooth patient transitions and continuity of care.
Training & Development
- Assist with the Outpatient Technician training program.
- Coordinate training opportunities while prioritizing foundational, essential, and advanced competencies.
- Support onboarding of new team members and reinforce department standards and protocols.
Clinical Skills
The Outpatient Coordinator should possess proficiency in, or be capable of overseeing, the following outpatient procedures:
- Client communication and treatment plan review
- Electronic medical record documentation
- Recheck appointment coordination
- Incision and suture care
- Bandage application and management
- Wound care
- Diagnostic radiography
- Blood collection
- Cystocentesis
- Medication administration and injections
- Intravenous catheter placement
- Sedation monitoring
- General outpatient nursing care
- Department cleanliness, organization, and facility upkeep
Qualifications
- Demonstrated leadership and organizational abilities.
- Strong communication and interpersonal skills.
- Ability to prioritize multiple responsibilities in a fast-paced specialty hospital.
- Thorough understanding of outpatient veterinary nursing procedures.
- Commitment to maintaining exceptional standards of patient care, client service, and team collaboration.
Job Type: Full-time
Pay: $26.00 - $34.00 per hour
