Full Job Description

Our client, in Essex, VT is seeking a site events & facilities coordinator specialist to join their team. The Site Events & Facilities Coordination Specialist is responsible for planning, coordinating, and executing meeting room setups, catering logistics, site events, and business support center (BSC) operations.

This role serves as the primary liaison between event requestors, facilities teams, custodial services, and catering providers to ensure a professional, organized, and seamless experience for all site meetings and events.

Job Description: Site Events & Facilities Coordination Specialist

Position Summary

The Site Events & Facilities Coordination Specialist is responsible for planning, coordinating, and executing meeting room setups, catering logistics, site events, and business support center (BSC) operations. This role serves as the primary liaison between event requestors, facilities teams, custodial services, and catering providers to ensure a professional, organized, and seamless experience for all site meetings and events.
Key Responsibilities

Meeting & Conference Room Coordination

Review daily calendars for the Global Center, Presentation Center, and The Junction.
Contact room requestors to confirm room setup requirements and event needs.
Maintain and update the Site Operations Setup Calendar with all setup requirements.
Communicate setup requests and changes to Janitronics and other support teams as required.
Verify rooms are configured according to customer requirements prior to event start times.
Distribute the Weekly Setup Schedule every Friday.
Communicate schedule updates, changes, and special requests throughout the week.

Catering Coordination

Monitor catering schedules and requirements for meetings and events.
Receive and review weekly catering schedules from Whitson's.
Coordinate catering logistics and verify orders are delivered as requested.
Communicate waste, recycling, and post-event cleanup requirements to Jani Tronics.

Event Planning & Execution

Support site-wide events, including Town Halls, Global Casts, employee meetings, and special functions.
Complete event readiness checklists to ensure venues are fully prepared.
Coordinate room layouts, seating, signage, easels, registration tables, and other event support materials.
Verify catering services, audiovisual needs, and room setups prior to event start.
Collaborate with employees, departments, and vendors to support special event requirements.
Provide on-site event support and troubleshooting as needed.

Business Support Center (BSC) Management

Manage Business Support Center inventory, supplies, and equipment.
Maintain an organized and efficient workspace.
Track supply usage and coordinate replenishment as necessary.
Ensure event support materials and resources are properly stored and readily available.

Qualifications

Strong organizational and multitasking skills.
Excellent communication and customer service abilities.
Experience coordinating meetings, events, or facilities operations preferred.
Ability to manage competing priorities and adapt to changing schedules.
Proficiency with Microsoft Outlook, calendaring systems, and standard office software.
Attention to detail and commitment to providing a high-quality customer experience.
