Job Overview

We are seeking an energetic and highly organized Front Desk Coordinator to be the welcoming face of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily activities. The ideal candidate will demonstrate strong communication skills, technical proficiency, and a proactive attitude to create a positive experience for visitors, clients, and team members alike. Duties

Greet visitors and clients warmly, ensuring a professional and friendly first impression at all times
Manage multi-line phone systems, directing calls accurately and courteously while taking detailed messages when needed
Maintain a clean, organized reception area and ensure all office supplies are stocked and accessible
Schedule appointments, coordinate calendar management, and assist with meeting arrangements using productivity software like Microsoft Office and Google Workspace
Handle data entry tasks with precision, including updating spreadsheets, maintaining filing systems, and managing client records
Support office management activities such as bookkeeping using QuickBooks and assisting with clerical tasks like proofreading documents and preparing correspondence
Provide excellent customer support by addressing inquiries promptly via phone or email, demonstrating strong phone etiquette and client communication skills

Skills

Proven experience in office management or administrative support roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, spreadsheets, and data entry software
Technical proficiency with computer literacy including typing speed, proofreading accuracy, and familiarity with productivity software
Experience with multi-line phone systems, phone communication etiquette, and customer service excellence
Knowledge of front desk procedures specific to dental reception is a plus
Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
Previous experience in clerical roles such as filing, calendar management, or personal assistant duties is advantageous
