About the Role

G&C Glass & Mirror is looking for an experienced, dependable Office & Administrative Coordinator to join our team in Lake Zurich.

This is an important position within our office. The person in this role helps keep our day-to-day operations organized by coordinating customer communication, scheduling, material tracking, job paperwork, administrative follow-up, and support for our estimating, project management, accounting, and field teams.

We are looking for someone who is organized, detail-oriented, professional with customers, comfortable managing multiple priorities, and willing to take ownership of their responsibilities.

This is not a passive receptionist position. We need someone who enjoys being involved, solving problems, following up, and making sure things get done.

Responsibilities

Answer incoming phone calls professionally and route calls to the appropriate team member.
Monitor missed calls and voicemails and ensure timely follow-up.
Gather complete and accurate information from customers and prospective customers.
Assist with scheduling appointments and updating company calendars.
Maintain accurate customer, job, and scheduling information.
Track open purchase orders and material deliveries.
Contact vendors for updated material ETAs.
Maintain and update our internal shipping and purchase order tracking system.
Prepare job folders and paperwork for upcoming installations and service work.
Collect, organize, and file completed field paperwork.
Assist with administrative updates in our scheduling system, including jobs, schedules, and employee time.
Contact customers to confirm appointments and notify them when orders are ready for pickup.
Assist with routine invoicing, payment processing, and customer collection follow-up.
Maintain an organized and professional front-office environment.
Provide general administrative support to ownership, accounting, estimating, and project management.
Investigate discrepancies or missing information before escalating issues to another team member.

What We Are Looking For

2+ years of administrative, office coordination, office management, customer service, or similar professional office experience.
Experience managing a busy office desk with multiple responsibilities.
Strong attention to detail and accuracy.
Excellent verbal and written communication skills.
Professional and friendly phone presence.
Strong organizational and time-management skills.
Ability to prioritize tasks while handling frequent interruptions.
Comfortable making outbound customer and vendor phone calls.
Ability to learn new software and internal processes.
Proficiency with Microsoft Outlook, Excel, and general office technology.
Strong follow-through and personal accountability.
Ability to recognize when information does not make sense and investigate before moving forward.
Dependable attendance and punctuality.
Ability to work full-time, Monday through Friday, in our Lake Zurich office.

Preferred Experience

Experience in construction, home services, trades, manufacturing, distribution, property management, automotive, or another fast-paced service-oriented business is a plus, but is not required.

Experience with scheduling software, CRM systems, accounting software, or workforce-management platforms is also beneficial.
