Southern Comfort Health is a Direct Primary Care practice focused on accessible, relationship-based care. We work closely with our patients to coordinate care, improve continuity, and create a more personal healthcare experience without the limitations of a traditional fee-for-service office.
The Opportunity
We are seeking a Clinical Operations Coordinator to help keep our clinical and administrative workflows organized, responsive, and patient-centered. This role combines clinical support, care coordination, patient communication, and office operations.
We are a small, collaborative team where flexibility is essential. This role requires someone who is adaptable, proactive, and willing to support both clinical and administrative needs as they arise.
Key Responsibilities
- Prepare patient charts in advance by confirming labs, imaging, specialist notes, hospital records, and other required documentation.
- Coordinate specialist and diagnostic referrals, including supporting documentation, follow-up, and patient updates.
- Submit and track prior authorizations for medications, referrals, imaging, and other clinical needs.
- Manage medication and pharmaceutical operations, including refills, inventory, ordering, deliveries, expiration dates, and related documentation.
- Process medical records requests and organize incoming records, faxes, and documents within the appropriate patient chart.
- Communicate with patients by phone and text, return messages, provide physician-directed instructions, and schedule appointments and follow-up visits.
- Support accurate EMR documentation, contact information, chart organization, and day-to-day system management.
- Identify opportunities to improve workflows and help streamline administrative and clinical processes.
- Cross-train with clinical staff and provide clinical support and coverage within the Medical Assistant scope of practice.
Qualifications
- Certified Medical Assistant (CMA) or Registered Medical Assistant (RMA).
- At least three years of Medical Assistant experience; primary care experience is preferred.
- Pharmacy knowledge is highly desired
- Experience with electronic medical records and strong overall computer proficiency.
- Excellent organization, communication, attention to detail, and critical-thinking skills.
- Professional, dependable, and comfortable managing multiple priorities in a fast-paced environment.
- Phlebotomy experience is preferred for occasional coverage during high-volume periods.
- Reliable transportation.
