We are looking for a friendly, dependable, and highly organized Office Coordinator to join our team. This is an important role in our office—you’ll often be the first person our customers, vendors, employees, and visitors speak with, and you’ll help keep the day-to-day operations of our busy electrical contracting company running smoothly.
We’re looking for someone who is professional but personable, pays attention to the details, communicates well, and isn’t afraid to jump in wherever needed. Construction or electrical office experience is strongly preferred, as our environment can be fast-paced and priorities can change quickly throughout the day.
This is a paid position with an opportunity to grow, learn more about the electrical construction industry, and become an important part of our team.
What You’ll Do
- Answer and manage a multi-line phone system, assist callers, take accurate messages, and route calls appropriately
- Provide friendly and professional customer service to customers, vendors, field employees, and visitors
- Perform accurate data entry and maintain electronic and paper records
- Use Simpro, our job management software, for day-to-day office operations including customer and job information, work orders, scheduling, purchase orders, and other job-related documentation
- Assist with construction-related office documentation, job files, work orders, purchase orders, invoices, and other project paperwork as needed
- Schedule appointments, coordinate meetings, and assist with calendar management
- Maintain organized customer, vendor, employee, and project files
- Assist with Microsoft Word, Excel, Outlook, spreadsheets, correspondence, and document preparation
- Proofread documents and correspondence for accuracy before they are sent
- Monitor and order office supplies and help keep common office areas organized
- Communicate with electricians, project managers, vendors, customers, and other members of the office team throughout the day
- Help with general administrative tasks and be willing to step in when something needs to get done
What We’re Looking For
- Previous administrative experience in an electrical, construction, service, or trades-based office is strongly preferred
- Previous Simpro experience is a big plus; however, we are willing to train the right person who is comfortable learning new software
- Experience with other construction, service, dispatching, or job-management software is also valuable
- Strong organizational skills and attention to detail
- Comfortable working in a busy environment where priorities may change throughout the day
- Proficiency with Microsoft Office, including Word, Excel, and Outlook
- Experience with spreadsheets, data entry, and electronic document management
- Professional phone etiquette and experience handling multiple phone lines
- Strong written and verbal communication skills
- Excellent customer service skills and a friendly, approachable personality
- Ability to prioritize tasks, manage deadlines, and follow through without needing constant direction
- Strong proofreading, typing, filing, and general clerical skills
- Bilingual English/Spanish is a plus
- Experience with construction scheduling, accounting, purchasing, or project administration is a plus

You don’t have to know everything on day one, but you do need to be dependable, organized, willing to learn, and comfortable taking initiative.
Our office supports an active electrical construction operation, which means there are phones ringing, customers needing answers, electricians in the field needing information, vendors calling, schedules changing, purchase orders and paperwork coming in, and plenty of moving pieces.
Simpro is a big part of how we keep those moving pieces organized, so being comfortable working within a computer-based job management system is important. If you already know Simpro, even better. If you don’t, we need someone who is confident with technology, learns quickly, and isn’t afraid to ask questions.
We need someone who can keep things organized without getting overwhelmed, communicate clearly, pay attention to the little things, and recognize when something needs to be handled.
