Full Job Description

Overview

We’re an emergent startup called CUT Project, doing deeply tender, human-centered work. We’re looking for an Executive Assistant whose vibe and energy align with our mission—someone who’s organized and professional but also warm, empathetic, and able to build trust with our leadership and high-level clients. You’ll coordinate calls, manage communications, create short videos, and stay curious about AI tools as they grow. If you bring a balance of professionalism and a gentle, intentional presence, we’d love to connect.

Duties

Manage complex calendars, schedule appointments, and coordinate meetings for executive leadership, ensuring optimal time management and prioritization.
Handle incoming calls, screen inquiries, and direct communications efficiently with professionalism and courtesy.
Prepare, proofread, and edit correspondence, reports, presentations, and other documents with attention to detail and accuracy.
Organize and maintain digital filing system to ensure quick retrieval of essential information.
Assist with bookkeeping tasks such as expense tracking, invoice processing.
Facilitate client communication by providing excellent customer service via phone, email, or in person while maintaining confidentiality and professionalism.
Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing itineraries.
Utilize Google Workspace tools (Docs, Sheets) and AI to produce needed reports, invoices, etc.

Experience

Proven experience as an executive assistant or in a similar administrative role.
Demonstrated proficiency with office management systems including calendar management tools and filing systems.
Strong computer literacy with expertise in Google Workspace (Docs, Sheets) and AI tools.
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Exceptional communication skills—both verbal and written—with a focus on phone etiquette and customer service excellence.
Experience handling confidential information with discretion while maintaining professionalism at all times.
Familiarity with clerical tasks such as proofreading documents and managing spreadsheets for data organization.
Strong time management skills coupled with the ability to multitask efficiently across various responsibilities including calendar management.
