Position Summary
We are seeking a Client Relationship Manager to join our close-knit wealth management team. This is a highly client-facing position and an important part of creating the welcoming, personal experience our clients have come to expect from our firm. The ideal candidate is someone who genuinely enjoys people. We are looking for a warm, outgoing, personable individual who takes the time to get to know our clients, remembers the details that matter to them, and makes them feel valued every time they interact with our office. This position is about much more than answering phones or coordinating a calendar. The person in this role will become a familiar and trusted presence to our clients and an integral part of our small team. They should be comfortable working closely with advisors and service team members, taking initiative, helping wherever needed, and contributing to a positive office environment. Client Experience & Relationship Building
- Serve as a welcoming and familiar point of contact for clients and visitors.
- Answer incoming calls with warmth, professionalism, patience, and genuine concern for the client's needs.
- Develop positive relationships with clients and take an interest in getting to know them personally.
- Remember client preferences, important details, and conversations to help create a personalized experience.
- Respond to client questions and requests thoughtfully and ensure they are directed to the appropriate team member when needed.
- Follow up on client requests and help ensure that questions or concerns are addressed promptly.
- Provide a high level of hospitality and care during every client interaction, whether in person, by phone, or through written communication.
- Help create an office atmosphere where clients feel comfortable, recognized, and genuinely cared for.
Meeting & Client Coordination
- Coordinate and schedule client meetings and appointments for advisors.
- Communicate with clients regarding scheduling, confirmations, reminders, and meeting logistics.
- Prepare conference rooms and meeting materials prior to client appointments.
- Assist with virtual meeting coordination and technology setup.
- Provide hospitality and refreshments for client meetings.
- Assist with client events and special firm activities as needed.
- Help ensure that advisors and team members are prepared for the day's meetings and appointments.
Administrative & Team Support
- Provide administrative support to advisors and service team members.
- Assist with document preparation, scanning, filing, and organization.
- Maintain accurate and organized client records.
- Manage incoming and outgoing mail, packages, and deliveries.
- Monitor office supplies and coordinate ordering as needed.
- Assist with special projects and other administrative responsibilities.
- Take initiative to identify tasks that need to be completed and look for ways to support the team.
Office Coordination
- Help ensure the office operates smoothly and maintains a professional, organized, and welcoming environment.
- Coordinate vendor visits, deliveries, and service appointments.
- Assist with day-to-day office organization and operations.
- Maintain a client-ready environment throughout the day.
- Work collaboratively with a small team where communication, flexibility, and willingness to help are essential.

Qualifications
- Previous experience in a professional office, client service, administrative, banking, financial services, insurance, hospitality, healthcare, or similar environment preferred.
- Strong interpersonal and customer service skills.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Proficiency with Microsoft Office, Outlook, Word, and Excel.
- Ability to manage multiple responsibilities and prioritize effectively.
- Professional demeanor and appearance.
- High level of discretion and ability to maintain confidentiality.
- High school diploma or equivalent required; additional education or professional experience is a plus.
Financial services experience is not required. We are more interested in finding someone with the right personality, professionalism, work ethic, and ability to connect with people.
