CENTERS FOR ADVANCED ORTHOPAEDICS - FRONT OFFICE MANAGER RESPONSIBILITIES

Position Summary / Scope of responsibility

The Centers for Advanced Orthopaedics LLC (CAO) is one of the nation’s largest Orthopaedics practices, owned and operated by physicians, with over 60 locations across Maryland, Northern Virginia, and the District of Columbia. With approximately 2,000 employees, working in 28 Divisions, CAO is a growing business with revenues of approximately $250 Million. CAO is committed to be the Orthopaedics provider of choice for our patients; partner of choice for payors and health systems; and employer of choice by attracting and retaining a talented workforce.

The Front Office Manager duties include supervising the day-to-day operations of front desk and reception areas in the assigned medical practice. This role will be responsible for training and managing administrative staff, supervising administrative and clerical duties, and addressing customer complaints and queries. A successful Front Office Manager should have a good set of organization, time management, and leadership skills as well as the ability to develop their team to reach higher levels of productivity and quality in work.

Primary Responsibilities

The incumbent may be asked to perform job-related tasks other than those specifically stated in this description. The duties and responsibilities of the position are to be carried out in a manner that is consistent with the Mission, Core Values and Operating Principles of CAO.

Develops and implements front office policies, objectives, and standard operating procedures.

Ensures effective communication between all departments and the front office to better meet the needs and goals of patients and the practice.

Supervises hourly employees in the performance of tasks associated with their clerical roles. Participating in onboarding, training, coaching, and development of new and current front office employees. Including: performance evaluations, performance improvement plans, disciplinary actions, employee advancements, and terminations.

Ensures all staff carry out appropriate and professional communications with patients, visitors, physicians, and third-party vendors.

Serves as a resource to staff by answering questions, assisting with problems, and providing training as needed.

Monitors budget, billing payments, and orders medical and office supplies.

Liaises with physicians and practice leadership to identify potential office dysfunctions and implements improved procedures.

Arranges cleaning, regular and emergency maintenance services as necessary.

Generates and presents various reports including performance, inventory, and general office procedures.

Implements quality and performance improvement measures for the Front Office staff.

Manages the schedule for all front office staff and supervises workload productivity during shifts for opportunities in scheduling efficiencies.

Uses a wide variety of communication formats to keep staff regularly informed and trained with one-to-one and team meetings.

Ensures compliance with current healthcare regulations, the high ethical standards of the CAO, and federal, state, and local laws.

Performs other duties as assigned.

Reporting Relationships

The Front Office Manager reports directly to the Practice Administrator.

This role currently supervises the front office administrative/clerical staff.

REQUIREMENTS AND COMPETENCIES

Required Education and Experience

High School Diploma or equivalent.

Bachelor’s degree in business administration, healthcare, or a related field preferred.

Minimum of 5 years of Office experience in healthcare or in a related area required, with supervisory experience preferred.

Proficient knowledge of medical terminology.

Above average spelling and typing skills needed.

Proficiency with Microsoft Office suite of products.

Experience collaborating across multiple functions.

Experience innovating in a fast-growing work environment and dealing with ambiguity.

Competencies / Required Skills and Abilities

Strong Interpersonal Skills - Ability to develop relationships and collaborate and influence in a decentralized organization.

Leadership Skills – Ability to effectively manage and motivate staff.

Demonstrated ability to organize, prioritize, and manage multiple tasks in a dynamic environment with a proven track record of results.

Strong oral and written communication skills with excellent self-discipline and patience.

Able to work independently.

Excellent time management, organization, and administrative support skills.

Must be able to read, write, speak, understand, and communicate in the English language.

Physical Demands

Must be able to sit for long periods of time and lift up to 25 pounds.

Must be able to use appropriate body mechanics techniques when performing desk duties.

Requires frequent bending, reaching, repetitive hand movements, standing, walking, squatting, and sitting.

Adequate hearing to perform duties in person and over telephone.

Must be able to communicate clearly to patients in person and over the telephone.

Visual acuity adequate to perform job duties, including reading materials from printed sources and computer screens.
