Overview
We are seeking a professional and organized Front Desk Staff member to join our team. This role is vital in providing exceptional customer service, managing administrative tasks, and ensuring smooth office operations. The ideal candidate will possess strong office management skills, proficiency with computer applications, and excellent communication abilities. Bilingual skills and experience in medical or dental reception are a plus. This position offers an engaging work environment where attention to detail and organizational skills are highly valued.

Duties

Greet visitors and clients promptly and professionally, creating a welcoming environment
Manage multi-line phone systems, handle inquiries, and direct calls efficiently
Schedule appointments using calendar management tools and coordinate meetings
Perform data entry, filing, and maintain organized records using Microsoft Office and Google Workspace
Assist with billing, bookkeeping, and basic office management tasks using QuickBooks or similar software
Provide customer support via phone, email, or in person, ensuring high levels of customer satisfaction
Proofread documents for accuracy and clarity before distribution
Support administrative functions such as typing correspondence, managing office supplies, and maintaining cleanliness of the front desk area
Handle administrative duties related to medical or dental receptionist responsibilities if applicable

Qualifications

Proven experience in office management, clerical work, or administrative support
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Strong computer literacy with experience in data entry and document proofreading
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional phone etiquette and customer service skills
Ability to operate multi-line phone systems efficiently
Bilingual abilities are preferred to assist diverse client needs
Prior experience in medical or dental reception is advantageous but not required
Strong time management skills with the ability to prioritize tasks effectively
Personal assistant experience or familiarity with calendar management is a plus
