Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to join our Home Buying team. As a Transaction Coordinator, you will play a crucial role in facilitating smooth and efficient real estate transactions. You will be responsible for managing the administrative tasks involved in the home buying process, ensuring that all documentation is accurate and timelines are met. You will also work closely with the CEO to ensure deals and deadlines are met and completed.
- Oversee and coordinate the entire home buying process from contract to closing.
- Ensure timely and accurate completion of all required documentation.
- Liaise between real estate agents, clients, lenders, and other parties to facilitate communication and information flow.
- Maintain an air of professionalism, extraordinary customer service, while also being assertive, firm and direct
- Review and organize transaction documents to ensure compliance with regulatory requirements. Be able to notarize documents as needed.
- Verify the accuracy of contracts, addendum's, and other legal documents.
- Track key dates and deadlines to ensure timely completion of tasks.
- Act as the main point of contact for all parties involved in the transaction.
- Provide regular updates to clients and agents on the status of the transaction.
- Facilitate communication between buyers, sellers, agents, and other stakeholders. - Communicate towards our own team what was said by other parties and what are the appropriate next steps.
- Our clientele tends to be elderly, in emotional, physical or financial distress, and unfamiliar with the real estate process. Its our job to ease their burden, aid them in any way we can, and take the necessary precautions in how we communicate with them.
- Identify and address any issues that may arise during the transaction process.
- Collaborate with relevant parties to find solutions and ensure a seamless closing. - Voice any concerns or issues you find. Nothing is set in stone unless its the law.
- Schedule and coordinate property inspections, walkthroughs, showings. Schedule team members at the appropriate times
- Ensure that necessary repairs are completed and documented.
- Maintain accurate and organized electronic and paper files for each transaction.
- Utilize real estate transaction management software effectively.
- Property Maintenance, Utilities, Insurance, Lending Paperwork & Calls
- Executive Assistant as well as Personal Assistant Responsibilities (Errands)
- Admin Tasks such as Receipt/Invoice Tracking, Monthly Bills, Updating/Organizing Drive Folders & Office
- Be able to run to a property or a seller/attorneys office if needed.
- Proven experience as a Transaction Coordinator or in a similar role within the real estate industry is a plus but not required.
- Strong understanding of the home buying process and associated documentation is a plus but not required.
- Excellent organizational and multitasking abilities.
- Exceptional communication and interpersonal skills.
- Knowledge of real estate transaction management software is a plus but not required.
- Ability to thrive in a fast-paced and dynamic environment.
- If you can coordinate multiple groups of people, follow directions but be willing to figure it out and problem solve as needed to take initiative, and pay attention to detail. You’ll do great.
- College diploma or equivalent; additional education in real estate or a related field is a plus.
- Notary License preferred but Employer will pay for you to become one
- Familiarity with local real estate laws and regulations is a plus but not necessary. Its the ability to think on your feet and learn quick that is truly valued

You’re A Good Fit IF:
1. You’ve got strong attention to detail. You catch the things others missed and have no problem voicing corrections in a courteous and effective manner.
2.You’re a great communicator who can not only explain things differently to different types of people from all walks of life, but also have the ability to be assertive and calm a situation down.
3.You can problem solve, get it done if you so have to. You don’t need every little detail spelled out for you to get things rolling or finished. If there’s something left out, you’ll say so and send it back up the chain for an answer then keep it pushing.
4.You like to have ownership and control over your space and your involvement in what you do. It doesn’t necessarily mean experience in the role but you’ll step up to the plate if you must. You can lead your role and department.
5.You like to have fun, and every day is not only a new day but there are new experiences to be had as well as lessons. There’s a consistent work flow and rhyme to what you’re doing but it isn’t always monotonous A-Z work.
6.You can put the team over yourself and you’re not sensitive or get your feelings hurt. Some ego is good but putting it over the mission isn’t. Justify your ego but never at the expense of the team.
7.You’re OK operating in uncertain situations. Things won’t always be clear, they change a lot as we grow and develop. That also means we move quick so you must be able to adapt and thrive in that sort of environment as we work to stabilize.
8.You’re a great organizer, self-starter, and can figure things out on your own if needed. I don’t expect you to master real estate on your own, I’ll be plenty available to help you out whenever.
9.You’re comfortable being self-accountable but also accountable to metrics and KPIs
10.You don’t mind reaching out for help and don’t feel less than for doing so. If things get hairy or difficult, you know someone is there to help you. I can always step in if needed but the end goal is to get you self-sufficient 95% of the way.
11.You don’t mind being assertive and telling it like it is, have some tact sure but you can hold your own if you feel it's needed. On that same note, you don’t need your hand held and can manage yourself to an extent.
12.You want a career and you’re in it for the long haul. That means you’ll grow and doors will be open to you in the long-run. We’re not looking for people who want to have their own business or be the boss. However, you’ll have control in what you do and how you want your role to be, and as we grow and hire people beneath you. I’d like to offer security with a fair amount of freedom.
