Job Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers an exciting opportunity to support daily office operations, enhance efficiency, and provide exceptional client service. The ideal candidate will bring enthusiasm, technical proficiency, and a proactive approach to managing administrative tasks. You will be the backbone of our office, ensuring smooth communication, accurate data management, and professional front desk interactions.

Duties

Manage multi-line phone systems with professionalism and excellent phone etiquette, directing calls efficiently and courteously.
Perform data entry tasks with accuracy using productivity software such as Microsoft Office and Google Workspace to maintain organized records.
Support office management activities such as filing, proofreading documents, and organizing files for easy retrieval.
Assist with bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial records.
Coordinate calendar management and scheduling for team members or executives, ensuring timely appointments and meetings.
Provide client support by addressing inquiries promptly via phone or email, offering helpful solutions and follow-up as needed.
Maintain office supplies inventory and oversee general clerical duties including photocopying, faxing, and mail distribution.
Support attorneys with appointment scheduling and maintaining confidentiality.
Contribute to office efficiency through excellent organizational skills, time management, and technical proficiency in various software tools.

Experience

Proven experience as an Administrative Assistant or in a similar clerical role within an office environment.
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and familiarity with productivity software.
Prior experience with bookkeeping or financial recordkeeping using QuickBooks is preferred.
Demonstrated organizational skills with the ability to manage multiple priorities efficiently while maintaining attention to detail.
Knowledge of office management procedures including filing systems, data entry accuracy, proofreading skills, and calendar coordination.
