Full Job Description

Overview

The Medical Society of Virginia Foundation (MSVF) is seeking a Call Line Coordinator, VMAP Line. This position will be responsible for the administrative and technical assistance for the VMAP Line, a provider call line that operates during business hours from 9am-5pm offering mental health resources to primary care providers treating patients 21 and under. Approximately 40 VMAP staff statewide support the various services offered via the VMAP Line. The VMAP Line plays a critical role as the central operations for all VMAP Line processes.

The VMAP Call Line Coordinator plays a critical role in supporting the VMAP Line and its teams statewide by providing both administrative and technical assistance. Key responsibilities include scheduling consulting physicians, maintaining effective communication with hub teams regarding important updates, and offering timely support on Salesforce and Simplicity platforms. The coordinator is also responsible for developing and refining training materials, ensuring that team members have access to updated guidance documents and resources.

Additionally, the coordinator works closely with the Senior Call Line Manager and Data Evaluator to facilitate quality assurance and manage data processes. This involves reviewing collected data, workflows, and supporting regular data assessments to improve reliability and validity. The coordinator also assists with onboarding new team members, develops and maintains training materials, and participates in resource mapping across the Commonwealth, ensuring that all operational needs are met and organizational goals are achieved. There can be multiple coordinators who work in collaboration with each other and the Senior Call Line Manager to complete the major duties and responsibilities of the role.

Responsibilities

· Provide administrative support and technical assistance to the VMAP Line and VMAP Line teams across the state

o Coordinate scheduling of consulting physicians

o Assist Senior Call Line Manager in providing regular, ongoing communication to hub teams regarding announcements (procedure changes, process needs, closures, etc.)

· Be available to provide technical assistance to teams on both Salesforce and telephone system (Simplicity) platforms in timely manner during regular business hours

o Develop or refine training materials and guidance documents for VMAP Line teams.

· Work closely with Senior Call Line Manager to support VMAP line operations

o Communicate with Senior Call Line Manager regularly on all hub team and call line operations

o Report to Senior Call Line Manager on VMAP Line needs, processes, and updates

o Assist Senior Call Line Manager in preparing data, reports, and summaries for organizational, statewide, or other stakeholder meetings as needed

· Work with Senior Call Line Manager and Data Evaluator to support quality assurance and data management processes

o Perform regular review of collected data in Salesforce

o Perform regular review of workflow, data entry, and other call line processes

o Support monthly/quarterly data review and quality assurance assessments

o Work with call line teams to improve data collection reliability and validity

· Work with Senior Call Line Manager to support call line team onboarding and continuation of role support

o Provide technical onboarding to new team members in Salesforce and Simplicity platforms

o Support team leads with onboarding new team members

· Along with Senior Call Line Manager, develop and maintain training materials including videos, wiki content and manuals.

· Assist CN team in planning, coordinating and updating resource mapping across the Commonwealth

· Under the supervision of the Senior Call Line Manager, coordinate and facilitate staff support programs for the hub team.

· Manage Monthly Recognition and Annual Staff Awards

· Support call line team office hours monthly, and as needed

· Facilitate Sunshine Committee Meetings, communicating team needs to Senior Call Line Manager

Skills

Required Qualifications:

o Bachelor’s degree

o Experience using Salesforce as a CRM is preferred

o Strong organizational abilities including effective time management skills, able to manage multiple tasks at the same time and respond to requests in a timely matter

o Experience in nonprofit, mental health, social services, and/or healthcare preferred

o Strong documentation skills

o Strong customer service skills and Interpersonal skills

o Ability to communicate effectively verbally, over phone, zoom, and in written form

o Proficient in Word, Excel, PowerPoint, data entry, and editing

o Demonstrates flexibility and willingness to learn

o Detail-oriented

Pay: $48,000.00 - $56,000.00 per year
