Job Duties and Preferred Qualifications:
City of Virginia Beach Economic Development Department is seeking administrative support for the HIVE.

- Assist in the development, monitoring, and tracking of small business program activities and performance metrics using Salesforce, ensuring accurate documentation of vendor engagements, client interactions, and program outcomes.
- Prepare internal reports and communication drafts for departmental leadership, including post‑event survey summaries, operational activity summaries, resource partner updates, and user agreement tracking.
- Independently manage meeting scheduling and external communications with business stakeholders, vendors, and program participants to determine appropriate resources, next steps, and follow‑up actions.
- Support small business program operations by collecting, organizing, and maintaining data for Small Business Grant impact reporting, temporary staffing time sheet tracking, and other required program documentation.
- Assist in creating and updating marketing content for The HIVE, collaborating with departmental leadership, the City’s Communications Office, and contracted marketing firms to update content calendars and support outreach efforts.
- Provide general administrative project support as assigned, including tracking deadlines, organizing digital files, and improving workflow organization related to business development initiatives.
The ideal candidate will possess the following qualifications:
- Experience using CRM systems (preferably Salesforce) to track client interactions, program activity, or vendor engagement.
- Strong analytical skills with experience summarizing survey results, operational data, or program activity metrics.
- Demonstrated ability to communicate effectively with external stakeholders, including small business owners, vendors, and program participants.
- Experience preparing professional correspondence, internal reports, or content drafts for leadership review.
- Familiarity with marketing workflows, content development, or coordinating with communications teams or creative vendors.
- Ability to organize, track, and maintain grant‑related documentation or other compliance‑based recordkeeping.
- Knowledge of small business operations, entrepreneurship support programs, or municipal business assistance programs (preferred but not required).

Minimum Requirements:
Minimum Qualifications: High school or GED plus one (1) year of experience in fields providing the required knowledge, skills, and abilities, such as clerical or office assistant; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities. Passing score on a typing test may be required. Special Requirements: All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.
