We are seeking a polished, organized, and highly attentive Clinical Room Assistant & Medical Scribe to work directly alongside Dr. Kaado and support the flow of patient consultations, treatments, documentation, and treatment-room operations.
This position is ideal for someone who is calm under pressure, comfortable working closely with a physician, able to document accurately in real time, and committed to providing a discreet and professional patient experience.
Position Overview
The Clinical Room Assistant & Medical Scribe will accompany the physician during consultations and treatments, document relevant information in the electronic medical record, prepare rooms and patient materials, assist with clinical workflow, and ensure that each room is properly reset for the next patient.
This is primarily a physician-support, documentation, and room-flow position. It is not an independent clinical-provider role and does not include diagnosing, prescribing, recommending medical treatment, or independently performing medical procedures.
Primary ResponsibilitiesPhysician and Scribe Support
- Accompany Dr. Kaado during patient consultations and treatment-room visits.
- Document the physician’s findings, recommendations, treatment plans, and instructions accurately and in real time.
- Enter information into AestheticsPro or the practice’s electronic medical-record system.
- Prepare charts before the physician enters the room.
- Confirm that required intake forms, medical histories, photographs, and consents are present.
- Record products, quantities, treatment areas, lot numbers, settings, and other treatment information as directed by the treating provider.
- Prepare treatment proposals and follow-up instructions based on the provider’s documented plan.
- Flag incomplete documentation for correction before the end of the day.
- Protect patient confidentiality and follow all HIPAA and practice privacy requirements.
Treatment-Room Support
- Prepare treatment rooms before each patient.
- Ensure rooms are clean, organized, stocked, and professionally presented.
- Confirm that required supplies and approved equipment are available.
- Assist with patient positioning, comfort, mirrors, photography, and nonclinical preparation.
- Serve as a chaperone when requested or required.
- Clean and reset rooms promptly between patients according to practice protocols.
- Monitor treatment-room supplies and notify the appropriate team member when stock is low.
- Maintain clean countertops, cabinets, drawers, and work areas.
- Assist with product and lot-number documentation and inventory accountability.
Patient Experience
- Welcome patients into the treatment room with warmth and professionalism.
- Help patients feel comfortable and prepared for their consultation or procedure.
- Explain the general room process without giving independent medical advice.
- Provide written aftercare materials approved by the treating provider.
- Review follow-up instructions that have already been established by the provider.
- Escort patients to the appropriate next step following their appointment.
- Communicate patient questions or concerns directly to the appropriate licensed provider.
- Maintain discretion when working with confidential, sensitive, or high-profile patients.
Daily Clinical Flow
- Review the daily provider schedule before the first patient.
- Identify consultations, treatments, photographs, consents, and supplies required for each appointment.
- Help keep the physician on schedule throughout the day.
- Communicate delays or workflow concerns to the appropriate manager.
- Track outstanding chart notes, photographs, consents, and follow-up tasks.
- Assist with end-of-day chart review and room readiness.
- Participate in morning huddles, training sessions, and workflow-improvement meetings.
- Work cooperatively with front-office, clinical, sales, and management team members.
Scope and Role Limitations
Unless the employee separately holds the required license or credential and has been formally trained and authorized by Kaado MD, this position will not:
- Diagnose a patient
- Prescribe medication
- Determine medical suitability for treatment
- Develop an independent treatment plan
- Administer injections
- Operate medical lasers or energy-based devices
- Prepare or administer prescription medications
- Provide independent clinical advice
- Change a physician’s treatment recommendation
- Perform any duty requiring a professional license
Virginia law prohibits the unlicensed practice of medicine, so the role must remain within documented support and administrative duties unless the employee has separate credentials and authorization.
Required Qualifications
- High school diploma or equivalent.
- At least one year of experience in a medical office, clinical setting, medical-scribe position, or comparable physician-support role preferred.
- Strong typing and computer skills.
- Ability to document accurately while listening to a physician-patient conversation.
- Excellent spelling, grammar, attention to detail, and organization.
- Professional communication and interpersonal skills.
- Ability to maintain confidentiality and use good judgment.
- Comfortable working around needles, blood, injectable treatments, lasers, and medical procedures.
- Ability to move quickly between rooms while remaining calm and accurate.
- Dependable attendance and punctuality.
- Ability to stand and walk for extended periods during the workday.
- Willingness to follow detailed clinical, privacy, cleaning, and documentation protocols.
Preferred Qualifications
- Previous medical-scribe experience.
- Medical-assistant education or certification.
- Experience in dermatology, plastic surgery, aesthetic medicine, wellness, or a specialty medical practice.
- Experience with AestheticsPro or another electronic medical-record platform.
- Experience taking standardized clinical or aesthetic photographs.
- Familiarity with injectable treatments, skincare, lasers, or aesthetic terminology.
- Current CPR or BLS certification.
- Experience supporting a busy physician directly.

Schedule
- Full-time, in-person position.
- Schedule will follow the physician’s clinical calendar.
- Some evening or Saturday availability may be required.
- The employee must be available before the first scheduled patient to prepare charts and rooms and remain through completion of documentation and room closeout.
