Office Coordinator

Job Type: Full-Time

Position Summary

We are seeking a dependable, organized, and professional Office Coordinator to support the day-to-day operations of our front office. This position serves as an important point of contact for customers, vendors, and visitors while also handling a variety of administrative and office support responsibilities.

The ideal candidate is friendly, detail-oriented, organized, and able to manage multiple tasks while maintaining a professional and welcoming office environment. Bilingual skills are a plus.

Essential Duties and Responsibilities

Answer and direct incoming phone calls in a professional and courteous manner.
Greet visitors, customers, and vendors and direct them to the appropriate person.
Monitor and maintain the company's bid board, ensuring information is current and organized.
Print, organize, and distribute construction plans and other project-related documents as needed.
Pick up incoming mail and distribute to the appropriate employees or departments.
Order and maintain office supplies, kitchen supplies, and other general office necessities.
Stock and maintain kitchen and bathroom supplies.
Maintain the company's business phone account and assist with phone-related needs.
Process cash tickets accurately and in a timely manner.
Communicate professionally and courteously with employees, customers, vendors, and visitors.
Perform other office and administrative duties as assigned.

Qualifications and Skills

Previous office, receptionist, administrative, or customer service experience preferred.
Strong organizational skills and attention to detail.
Professional and friendly communication skills.
Comfortable answering phones and interacting with a variety of people.
Basic computer skills and ability to learn company software and systems.
Knowledge of 10-key and ability to accurately enter numerical information.
Ability to prioritize tasks and manage multiple responsibilities.
Dependable, punctual, and self-motivated.
Ability to work independently while also being a team player.
Professional attitude and appearance.

Ideal Candidate:The ideal candidate is someone who takes initiative, stays organized, pays attention to details, and is willing to help wherever needed. This position is an important part of keeping the office running smoothly, so reliability, communication, and a positive attitude are essential.

Work Environment:This is an office-based position with regular interaction with employees, customers, vendors, and visitors. The role requires the ability to balance front-office responsibilities with administrative and general office-support duties throughout the day. Hours are Monday through Thursday 8am-5pm and Fridays 8am-3:30pm.
