Full Job Description

Overview

We are seeking a dynamic and highly organized Executive Assistant to join our team! This vital role offers the opportunity to support senior leadership by managing a wide range of administrative and operational tasks with energy, efficiency, and professionalism. Duties

Manage complex calendars, schedule appointments, and coordinate meetings to optimize executive time and priorities
Handle incoming calls using multi-line phone systems with professionalism and courtesy, directing inquiries appropriately
Prepare, proofread, and edit correspondence, reports, and presentations using Word processing and productivity software
Organize files, maintain records, and perform data entry tasks with accuracy and attention to detail
Assist with office management duties including supply procurement, equipment maintenance, and facility coordination
Support client communication efforts by providing excellent customer service and timely follow-up
Facilitate travel arrangements, including booking accommodations and preparing itineraries for executives

Skills

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with spreadsheets for data management
Strong computer literacy with technical proficiency in office management software and data entry tools
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Bilingual abilities are a plus to communicate with diverse clients and team members
Experience with QuickBooks or similar accounting software is desirable for financial recordkeeping
Demonstrated office experience including clerical tasks such as filing, proofreading, and document preparation
Exceptional phone etiquette and customer support skills to handle inquiries professionally
Proven ability to multitask in a fast-paced environment while maintaining accuracy and productivity
