Full Job Description

About the Role

Waco Bottling is a growing beverage co‑packing company, and we’re hiring an Office Manager / Hiring & HR Coordinator to own our front office and core people processes. This person will manage the office, keep supplies stocked and tracked, support ongoing hiring and interviews, track time‑off and attendance, help with shift scheduling, and assist the owner and executive team with day‑to‑day needs. This is a great role for someone organized and hungry to learn office and HR work; prior experience is preferred but not required if you’re sharp and willing to learn.

Key ResponsibilitiesOffice Management & Supplies

Own daily operation of the office and lobby; keep the space clean, professional, and organized.
Maintain and track office and basic breakroom supplies (paper, forms, printer ink, pens, coffee, etc.).
Monitor inventory levels and place orders before items run low, following simple purchasing guidelines.
Keep basic logs or spreadsheets for key supplies so usage and spend are visible.
Coordinate with vendors for office equipment, deliveries, and basic service needs.

Front Desk & Administrative Support

Greet and direct visitors, drivers, vendors, and job applicants.
Answer, screen, and route incoming calls; handle general questions and messages.
Receive, sort, and send mail and packages.
Provide general admin support: filing, scanning, copying, and simple data entry or document preparation.

Hiring & Interview Coordination

Post job openings and keep postings updated on job boards and other channels.
Review applications for basic qualifications and share promising candidates with leadership.
Contact candidates to schedule interviews; coordinate times with managers.
Sit in on interviews with leadership to learn the process, then help lead standard screenings using agreed‑upon questions.
Prepare and send basic offer emails/letters using templates provided.
Organize new‑hire paperwork and make sure forms are completed accurately before start dates.

Time‑Off, Attendance & Scheduling Support

Keep the master record of PTO and time‑off requests up to date.
Log time‑off requests, route them for approval, and record approvals/denials.
Track attendance issues (call‑ins, no‑shows, tardies) in a simple, clear system.
Help update weekly/daily shift schedules based on staffing, time‑off, and production needs, under guidance from leadership.
Share schedule and PTO updates with production leads/supervisors and post current versions where employees can see them.

Executive & Owner Support

Assist the owner and executive team with everyday administrative needs, such as:
Preparing, mailing, and tracking documents and packages.
Setting up meetings and basic refreshments.
Occasional errands (mail, coffee, drop‑offs/pick‑ups) so leadership can stay focused on running the business.

HR / People Ops Support (Light)

Maintain organized employee and candidate files (paper and/or digital).
Help manage simple onboarding checklists so new hires have what they need on day one.
Treat all employee and candidate information as strictly confidential.

Qualifications

High school diploma or GED required.
Prior experience in office administration, customer service, scheduling, or HR support is preferred but not required.
Comfortable using basic computer tools (email, calendar, spreadsheets, and simple documents); willing to learn any systems we use.
Strong organization and attention to detail; able to keep track of multiple tasks (phones, visitors, hiring, supplies, schedules) at the same time.
Professional, friendly communication style; comfortable talking with leadership, employees, candidates, drivers, and vendors.
Able to maintain confidentiality and handle sensitive information appropriately.
Self‑starter mentality with a willingness to learn and grow into the HR/office side of the business.

Pay: $18.00 - $20.00 per hour
