Job Summary

We are seeking an energetic and highly organized Scheduling Coordinator to join our dynamic team. In this vital role, you will manage appointment scheduling, coordinate multiple calendars, and ensure smooth communication across departments. Your proactive approach will help optimize daily operations, enhance customer experience, and support overall office efficiency. This paid position offers an exciting opportunity for someone with strong administrative skills and a passion for delivering exceptional support.

Responsibilities

Manage and coordinate appointment schedules using productivity software and calendar management tools to ensure timely and efficient service delivery
Answer multi-line phone systems with professionalism, providing excellent customer service and support to clients, patients, or team members
Maintain accurate records through data entry, filing, and proofreading to support office operations and compliance requirements
Assist with office management tasks such as organizing documents and managing supplies to keep the workspace organized and productive
Provide front desk support by greeting visitors, handling inquiries, and directing calls with proper phone etiquette
Utilize computer skills including Microsoft Office, Google Workspace, and other productivity software to prepare reports, correspondence, and documentation
Skills
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Excellent communication skills in both English and bilingual capabilities to serve diverse clients or team members
Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry systems
Experience with office management, clerical tasks, and administrative support roles such as front desk or medical/dental receptionist duties
Knowledge of phone etiquette for professional client interactions
Technical proficiency in scheduling software and calendar management tools
Exceptional time management skills to handle multiple responsibilities efficiently while maintaining accuracy
