Full Job Description

The following is a non-exhaustive criteria that relates to the job of a Receptionist, and it is consistent with the business needs of the facility. These are legitimate measures of the qualifications for a Receptionist, and are related to the functions that are essential to the job of a Receptionist.

KNOWLEDGE BASE:

Excellent phone skills.
Ability to handle a multi-line telephone system including transfers to voice mail.
Ability to take messages accurately and direct calls to the appropriate department.
Maintain a professional demeanor and appearance at all times.
Ability to distribute a multitude of incoming faxes.
Ability to sort and distribute incoming mail.
Ability to send packages and mail via Fed Ex, US Postal Service, Airborne, Certified Mail, etc.
Ability to use internet and email systems as needed.
Working knowledge of computers, ten key and other office machines.
Proficiency in word processing, spread sheets and other related computer programs.
Ability to deal effectively with residents, the public and co-workers.
Ability to organize, prioritize and work within deadlines.
Ability to perform work tasks within the physical demand requirements as outlined below.
Genuine caring for and interest in elderly and handicapped people.
Ability to comply with the Patients Bill of Rights and the Employee Responsibilities.
Ability to comply with the company’s and departmental safety policies and procedures.
Responsible for ordering and maintaining office supplies for all facilities on a monthly basis.
Responsible for answering and directing all incoming calls and voicemails.
Responsible for keeping the office copy machines and fax machines full of paper and replacing toner and drums as needed. Sort incoming mail and faxes.
Make sure all outgoing mail, fazes and special mail pieces including Fed Ex, certified mail and other items are processed promptly.
Assist with maintenance and compliance of personnel files as directed.
Assist with maintenance and compliance of I-9 files as directed.
Filing as directed.

PHYSICAL DEMANDS: May require frequent extended work days.

Sitting: 6 hours in an 8 hour shift. Alternates as needed to standing or walking.

Standing: 0.5 - 1 hour per 8 hour work shift. Alternates to sitting on an occasional basis and to standing on a frequent basis.

Walking: 1 - 2 hours per 8 hour work shift. Alternating to sitting on an occasional basis and to walking on a frequent basis.

STATEMENT: This position reports to the Business Office Manager.

Reliability, trustworthiness and consistency with regard to attendance is extremely important to this job. The ability to regularly and timely attend work, cooperative and politely work and deal with others, and to effectively multi-task and work in a stressful environment are also essential functions to this job.
