Salary Range: $50,000–$60,000, based on experience

About the Position

Mitchell & Nemitz, PA is seeking an experienced, professional, and highly organized Client Relations Coordinator to join our team in Wake Forest.

This position combines responsibility for our firm's front office and client experience with dedicated administrative support for our accounting partner.

The successful candidate will often be the first person clients interact with when they call or visit our office. We are looking for someone who is warm and professional, communicates well, stays organized despite frequent interruptions, and is comfortable using good judgment and taking ownership of responsibilities.

This is more than a traditional receptionist position. The role requires someone who can manage front-office responsibilities while also helping a busy accounting professional stay organized and focused.

Primary Responsibilities

Client Services & Front Office

Greet clients and visitors and provide a welcoming, professional first impression.
Notify team members of client arrivals and escort clients to meeting rooms.
Answer the firm's primary telephone line and provide first-line assistance to callers.
Determine the appropriate team member or department for client questions and efficiently route calls and messages.
Assist with routine client questions when appropriate rather than simply transferring every call.
Accurately document and communicate messages.
Maintain an organized and professional reception and conference room environment.
Retrieve, sort, and distribute incoming mail and deliveries.
Assist with outgoing mail, document handling, and other front-office administrative tasks.
Receive and appropriately route documents and information delivered by clients.
Provide general clerical and administrative support as needed.

Executive Support

This position will provide dedicated administrative support to one of the firm's accounting partners.

Responsibilities will include:

Serve as the partner's primary telephone gatekeeper.
Screen calls and determine which matters require the partner's direct involvement.
Resolve, redirect, or gather information regarding routine requests when appropriate.
Assist with monitoring and organizing the partner's email inbox.
Identify communications requiring timely attention and filter routine correspondence.
Draft routine emails, correspondence, and follow-up communications.
Complete clerical and administrative tasks on behalf of the partner.
Gather documents and background information needed for client matters and meetings.
Help organize outstanding requests, commitments, and follow-up items.
Communicate with clients on routine administrative matters on behalf of the partner.
Maintain confidentiality and exercise discretion when handling client, employee, and firm information.
Assist with additional administrative projects as responsibilities develop.

The ideal candidate is someone who takes ownership of responsibilities, follows through, and enjoys helping both clients and coworkers.

Successful candidates should have:

Three or more years of administrative, client service, executive support, office coordination, or similar professional experience preferred.
Excellent verbal and written communication skills.
A warm, polished, and professional demeanor.
Strong organizational skills and attention to detail.
Excellent follow-through and reliability.
The ability to manage multiple responsibilities and frequent interruptions.
Good judgment regarding urgency, confidentiality, and when matters should be escalated.
Confidence interacting with a wide variety of clients.
The ability to professionally handle frustrated or concerned callers.
The ability to work independently while also functioning well as part of a team.
Strong computer skills, including Microsoft Outlook and Word.
The ability to quickly learn new office and practice-management technology.

Experience in a CPA firm, law firm, financial services firm, banking environment , or other professional-services organization is helpful but not required.

Accounting or tax knowledge is not required. We are more interested in finding someone with strong judgment, communication skills, professionalism, and administrative ability who can learn how our firm operates.
