Full Job Description

Overview
We are a growing and fast-paced metal finishing business seeking a highly organized and detail-oriented Office Manager / Production Planner to oversee the daily operations of our office and support our General Manager in production planning. The ideal candidate will possess strong clerical and organizational skills, excellent phone etiquette, and a solid understanding of vendor management. This role is crucial in ensuring that our office and operations runs smoothly and efficiently while providing support to staff and management.

Responsibilities

Manage the office's phone systems, ensuring effective communication both internally and externally.
Oversee clerical duties, including filing, data entry, and maintaining organized records.
Handle vendor management tasks, including negotiating contracts and maintaining relationships with suppliers.
Assist with human resources functions such as onboarding new employees and managing payroll processes.
Utilize QuickBooks for financial tracking and reporting as needed.
Manage all order entries and status.
Understand and communicate priorities between the General Manager and production staff.
Communicate effectively with customer sales inquiries and status of orders.
Develop and implement organizational systems to improve office efficiency.
Provide administrative support to the management team as required.

Experience

Proven experience in an office management or similar role is preferred.
Familiarity with phone systems and strong phone etiquette skills are essential.
Experience with clerical tasks, including filing and data entry.
Knowledge of vendor management practices is a plus.
Human resources experience, particularly in payroll processing, is highly desirable.
Proficiency in QuickBooks or similar accounting software is required.
Proficiency in Excel software is required.
Experience in the metal finishing industry (anodizing, zinc plating, passivation, etc.) is a plus.
Exceptional organizational skills with the ability to multitask effectively in a fast-paced environment.
