Full Job Description

Job Description: Practice Manager

Location: Ocoee, Fl./ West Orlando On-Site. Job type: Full-Time Pay: $60,000 - $75,000 per year (commensurate with experience) Schedule: Monday - Friday, 7:45 AM- 5:30 PM Reports to: Doctor

About Our Practice: Single location, Prosthodontic practice serving West Orlando and the surrounding community. We’re patient first team that believes exceptional patient care starts with well-run, positive workplace. We’re looking for an experienced leader to run the business side of the practice, present treatment plans with confidence, and help us grow.

Position Overview:

This is a hybrid leadership role combining Office Manager, and Treatment Coordinator responsibilities. You’ll own the day-to-day operation of the practice, lead the administrative team, manage the financial health of the business, and serve as the primary point of contact for presenting treatment plans and helping patients move forward with care. It’s ideal for someone who is equally comfortable coaching a team, understand KPI’s, and providing personalized, side by side guidance to help patients clearly understand their treatment plans and financial options.

KEY RESPONSIBILITIES

Office Management & Team Leadership

Oversee daily operations of the front and (in coordination with the clinical lead) back office
Hire, train, schedule, and provide effective leadership through coaching, communication, and accountability
Run daily huddles and regular team meetings; set the tone for a positive culture
Hold staff accountable and ensure office policies and procedures are consistently followed

Business & Financial Management

Own the practice’s KPI’s - production, collections, AR, overhead, and new patients - and report to ownership
Oversee payroll coordination, insurance credentialing, and fee schedule management
Keep accounts receivable current and collections on track
Manage insurance verification, claims submission, and appeals
Track and improve profitability, overhead percentages, and other KPI’s
Maintain accurate patient records, treatment plans, and financial agreements. Ensure compliance with privacy regulations and internal protocols.

Treatment Plan Coordination

Present treatment plans to patients clearly and with confidence, translating clinical recommendations into patient-friendly language.
Review Insurance coverage, estimate patient portions, and set up financial arrangements.
Handle pre-authorizations and pre-determinations
Offer and manage payment options and third-party financing (e.g. Carecredit, Cherry)
Drive case acceptance and follow up on unscheduled and pending treatment to keep the schedule full
Build trust so patients feel informed and comfortable saying yes to care
Write letters to referring doctors regarding the referred patient's visits and findings. Maintain strong relationships with referring doctors to foster collaborative care.
Demonstrate confidence and capability in managing the collections process to ensure the timely and successful recovery of all patient payments and balances.
Cultivate positive relationships with patients and other dental and medical practices, establishing trust and rapport to enhance patient loyalty and referrals.

Patient Experience & Scheduling

Own the full patient journey - from first call to check-out, recall, and reactivation
Educate patients about oral health, treatment options, and post-treatment care to promote long-term dental health.
Optimize the provider schedule to hit production goals and reduce open time
Ensure efficient scheduling for multi-stage treatments and facilitate communication and coordination of treatment phases between dental practices.
Resolve patient concerns promptly and professionally
Monitor and improve online reviews and patient retention
Monitor patient progress and communicate any necessary adjustments to treatment plans.
Address patient questions and concerns promptly.

QUALIFICATIONS

3+ years of dental office management, business management, or treatment coordination experience. Exposure to prosthodontics and dental implant procedures are preferred.
Working knowledge of dental insurance, billing, claims, and financial options (e.g., Carecredit, Cherry)
Proficiency in dental software and practice management systems. (e.g., Curve, Opendental, or similar)
Strong leadership, communication, and financial/analytical skills
Attention to detail and accuracy in maintaining patient records and financial information.
Professionalism and a patient-centric attitude.

PREFERRED

Experience owning practice financials and reporting to ownership (production, collections, overhead, AR)
Track record of improving case acceptance and treatment plan follow-through
Experience leading a team of [3+] and hiring/training staff
Knowledge of OSHA/HIPAA compliance and other relevant regulations in a dental setting
