Full Job Description

We are seeking a detail-oriented, highly organized Office Administrator to join our team. In this role, you will be the backbone of our daily operations, ensuring that the office runs smoothly and that our project management and accounting workflows stay on track.

The ideal candidate has experience in the construction industry and thrives in a fast-paced environment where managing finances, communication, and scheduling simultaneously is key. You will work closely with our project management team to ensure our administrative processes mirror the efficiency of our field operations.

Key Responsibilities

Financial Management:
Utilize QuickBooks for full-cycle accounting, including accurate data entry and reporting.
Accounts Receivable (AR): Proactively coordinate collections, manage aging reports, and ensure timely receipt of payments.
Accounts Payable (AP): Oversee incoming bills, verify invoices against purchase orders, and manage payment schedules.
Assist in the preparation and filing of project estimates and invoices.
Office Coordination:
Act as the first point of contact for the company; direct incoming calls to the appropriate team members professionally.
Manage company calendars, coordinate crew/project schedules, and organize internal meetings.
Handle essential administrative documentation, including insurance certificates (COIs), licensing, and project compliance paperwork.
Administrative Support:
Maintain organized digital and physical filing systems for project contracts and vendor records.
Coordinate with field personnel to ensure timecards and job-related paperwork are submitted accurately and on time.

Qualifications

Experience: 2+ years of experience in an Office Administration or Bookkeeping role.
Industry Knowledge: Experience in civil construction, grading, or utility infrastructure is highly preferred. Understanding construction-specific terminology and billing cycles is a major plus.
Software Proficiency: Strong proficiency in QuickBooks is required. Experience with construction management platforms is a significant advantage.
Soft Skills:
Ability to prioritize tasks in a fast-moving, deadline-driven industry.
Excellent verbal and written communication skills.
Proactive problem-solver who can handle multiple moving parts without losing sight of the details.
