Full Job Description

We are seeking a motivated, organized, and detail-oriented Office Assistant to join our growing team. This position plays a vital role in supporting daily office operations, providing excellent customer service, and assisting with administrative, bookkeeping, marketing, and human resources tasks as needed.

The ideal candidate is a self-starter who enjoys working in a fast-paced environment, has strong organizational skills, and is willing to learn and grow with the company. While prior experience in accounting, bookkeeping, marketing, or HR is not required, candidates with experience in these areas are highly desirable.

Duties & Responsibilities Administrative & Office Support

Greet visitors and clients professionally while providing exceptional customer service.
Answer and manage multi-line phone systems, direct calls, and respond to inquiries.
Schedule appointments, meetings, and coordinate calendars.
Perform data entry and maintain organized filing systems, both physical and digital.
Prepare reports, correspondence, and documents using Microsoft Office and Google Workspace.
Handle incoming and outgoing mail and maintain office supply inventory.
Maintain a clean, organized, and professional reception area.
Assist with general office tasks including scanning, copying, filing, and document management.
Provide support to management and team members as needed.
Run errands outside of the office

Customer Service

Serve as a primary point of contact for customers.
Respond to customer questions and concerns professionally and efficiently.
Assist customers in person, over the phone, and through electronic communication.
Support office operations during busy periods and help ensure a positive customer experience.

Human Resources Support (Preferred Experience)

Assist with employee onboarding paperwork and file management.
Help maintain employee records and compliance documentation.
Provide administrative support for hiring and HR processes.

Qualifications Required

High school diploma or equivalent.
Strong organizational and multitasking skills.
Excellent verbal and written communication skills.
Professional appearance and positive attitude.
Strong customer service skills.
Proficiency with Microsoft Office (Word, Excel, Outlook) and basic computer applications.
Ability to work independently and as part of a team.
Strong attention to detail and accuracy.

Preferred

Previous office assistant, receptionist, administrative assistant, or customer service experience.
Experience with QuickBooks or bookkeeping software.
Knowledge of accounts payable, accounts receivable, or payroll processing.
Experience with social media platforms and digital marketing.
Experience with Google Workspace.
Graphic design, photography, video editing, or content creation experience.
Human resources or employee onboarding experience.
Bilingual skills are highly desirable.
