Full Job Description

The Secretary/Bookkeeper is responsible for providing clerical, organizational, and financial support to ensure the efficient operation of the office. This position serves as a point of contact for staff, students, parents, vendors, and the public while maintaining accurate financial and administrative records.

Essential Duties and Responsibilities

Answer phones, greet visitors, and provide general office assistance
Maintain files, records, and confidential documents
Prepare correspondence, reports, and other office documents
Process purchase orders, invoices, receipts, and payments
Maintain accurate bookkeeping and financial records
Reconcile accounts and assist with monthly financial reports
Handle deposits, receipts, and cash transactions according to district procedures
Assist with payroll and employee documentation as needed
Manage office supplies and place orders when necessary
Schedule appointments, meetings, and maintain calendars
Assist administrators and staff with daily office operations
Ensure compliance with district policies and financial procedures
Perform other duties as assigned by administration

Qualifications

High school diploma or equivalent required
Previous office, bookkeeping, or secretarial experience preferred
Knowledge of basic accounting and bookkeeping practices
Proficiency in computer programs such as Microsoft Office and financial software
Strong communication, organizational, and multitasking skills
Ability to maintain confidentiality and work independently
