Job Summary

We are seeking a dynamic and enthusiastic Event Coordinator to lead the planning, organization, and execution of a diverse range of events. In this role, you will be the driving force behind creating memorable experiences by managing all aspects of event logistics, vendor relationships, and client communication. Your energy, attention to detail, and excellent organizational skills will ensure each event runs smoothly from conception to completion. This paid position offers a fantastic opportunity to showcase your project management talents within a vibrant hospitality and events environment.

Responsibilities

Collaborate with clients and internal teams to understand event goals, themes, and requirements
Develop comprehensive event plans including timelines, budgets, and resource allocation
Negotiate contracts with vendors, venues, caterers, and other service providers to secure the best terms
Manage event budgets meticulously, ensuring cost control while maximizing quality and value
Coordinate all logistical details such as venue setup, catering, audiovisual needs, transportation, and accommodations
Oversee event marketing efforts through various channels to promote attendance and engagement
Utilize event management software and CRM systems to track progress, client communications, and post-event feedback
Lead a team of staff or vendors during events to ensure seamless execution and exceptional guest experiences
Upsell additional services or upgrades to enhance client satisfaction and revenue opportunities
Conduct post-event evaluations to gather insights for continuous improvement

Requirements

Proven experience in event planning or management within the hospitality industry or related fields such as hotel or restaurant operations
Excellent communication skills for effective client interaction and team coordination
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Tripleseat software.
Demonstrated ability to manage multiple projects simultaneously with exceptional time management skills
Experience managing event budgets from initial planning through final reconciliation
Knowledge of catering operations, banquet services, and hospitality standards is highly desirable
Ability to lead teams confidently while maintaining a positive attitude under pressure
Technical proficiency in AV equipment setup or related technology is a plus
Prior experience in fundraising or guest services can be advantageous for certain event types
