Construction Operations Coordinator / Office Manager
A Big Improvement (ABI Remodeling)
McLean, VA
Full-Time | In-Person
$55,000–$65,000 per year
We're Looking for Someone Who Wants More Than an Office Job
A Big Improvement (ABI Remodeling) is a growing residential remodeling and construction company serving Northern Virginia and the greater DMV area.
We're looking for a highly organized, motivated person to become a key part of our operations in our McLean office.
You do not need 10 years of construction experience.
You do need to care.
We want someone who takes ownership, follows through, asks questions, solves problems, and gets satisfaction from turning chaos into organization.
Initially, you'll help own the administrative side of 1–2 active construction projects while also managing important day-to-day office responsibilities. As you learn our business and grow into the position, we expect that responsibility to increase to approximately 2–4 projects at a time.
This is a position with real room to grow as both your capabilities and our company grow.
What You'll Own
You'll help manage the administrative lifecycle of our residential remodeling projects from before construction begins through final closeout.
Pre-Construction
- Creating and maintaining organized project files and records
- Tracking contracts, deposits, selections, permits, and required documentation
- Coordinating schedules, appointments, and project-related administrative items
- Communicating with homeowners, vendors, subcontractors, and our internal team
- Following up on outstanding items before construction begins
- Helping ensure our project managers have what they need to start projects successfully
During Construction
- Maintaining accurate project documentation and records
- Tracking change orders, selections, invoices, receipts, approvals, and other project information
- Assisting with homeowner communication and follow-up
- Coordinating administrative scheduling and project updates
- Following up with vendors, subcontractors, homeowners, and team members
- Keeping open items organized and making sure they don't disappear into the shuffle
- Supporting our project managers with the administrative side of active projects
Project Closeout
- Organizing final project documentation
- Tracking outstanding invoices, balances, paperwork, and approvals
- Coordinating warranty and closeout information
- Making sure project records, photos, documents, and files are complete
- Helping coordinate punch-list and final administrative items
- Making sure projects are actually closed out rather than leaving loose ends behind
Office & Company Operations
Projects are only part of the role. You'll also help keep the company organized and functioning day-to-day.
Responsibilities include:
- Running company payroll
- Answering and directing incoming phone calls
- Managing and responding to emails
- Maintaining organized company and employee records
- Keeping digital files and information organized
- Tracking outstanding documents and action items
- Helping manage invoices, receipts, expenses, and general administrative paperwork
- Supporting company leadership and project managers
- Communicating with homeowners, vendors, subcontractors, and employees
- Helping us create and improve the systems we use to run the company
- Handling the miscellaneous things that inevitably come up in a growing construction business — figuring out what matters, who needs to handle it, and making sure it gets resolved
The Person We're Looking For
Experience is valuable, but attitude, organization, and ownership matter more to us.
You're probably a good fit if:
- You're extremely organized
- You genuinely care whether something gets done correctly
- You take ownership instead of waiting for someone to remind you
- When you don't know something, your instinct is to figure it out
- You notice problems before someone has to point them out
- You enjoy creating systems, lists, processes, and organization
- You can juggle multiple priorities without losing track of the details
- You're comfortable picking up the phone and communicating professionally
- You're comfortable dealing with the occasional chaos that comes with construction
- You can distinguish between something that needs immediate attention and something that can wait
- You're willing to ask questions when you need help
- You're interested in learning how a growing business actually operates
- You want your responsibilities to grow as the company grows
Construction, remodeling, home services, project coordination, bookkeeping, payroll, or office management experience is helpful, but not required for the right person.
We're willing to teach someone who has the right mindset.
More Than the Job Description
We're building ABI — not maintaining a giant corporation where everything has already been figured out.
That means there are things we can do better and systems we'll need tomorrow that we don't need today.
We want someone who sees that as an opportunity.
If you notice a process that doesn't make sense, we want you to say something. If you have an idea that could save time, improve the customer experience, make projects run smoother, keep us better organized, or help the company grow, we want to hear it.
Coming up with business-development ideas isn't your primary job. But we want people around us who are excited about what we're building and want to contribute to making it better.
We want someone who can grow from learning our systems, to owning them, to eventually helping us build better ones.
Compensation & Benefits
$55,000–$65,000 per year, depending on experience and qualifications.
We also offer:
- $300/month health insurance reimbursement through a QSEHRA — up to $3,600 per year toward eligible individual health insurance premiums and medical expenses
- Paid time off
- Biannual performance and compensation reviews, creating opportunities for pay increases as your performance, capabilities, and responsibilities grow
- Flexible scheduling, including the ability to structure the week to allow for half-day Fridays when workload and project needs permit
- Company-provided equipment needed to perform your job
- Direct exposure to company leadership and the opportunity to learn multiple sides of a growing residential construction business
- A genuine path toward increased responsibility, compensation, and leadership as ABI grows
We don't expect the right person to be doing the exact same job five years from now.
If you're capable, motivated, take ownership, and want more responsibility, we want the position to grow with you.
Schedule & Location
This is a full-time, in-person position based in McLean, Virginia.
This is not a remote position.
Our goal is to provide flexibility while maintaining the consistency and communication needed to support our customers, projects, and team.
Why ABI?
We're looking for someone who wants to be part of building something.
You'll work closely with company leadership and have visibility into how a growing residential construction company operates — projects, customers, employees, finances, systems, and everything in between.
There will be busy days. There will be problems to solve. There will occasionally be some chaos.
But you'll also have the opportunity to make a noticeable impact on how the company operates.
If you're looking for a position where you can become more valuable, take on more responsibility, bring ideas to the table, and grow alongside the company, we'd like to meet you.
We want the right person to be able to look back a few years from now and say:
"I helped build this."
How to Apply
Please submit your resume along with a brief response to the following:
Why does working for a growing company like ABI interest you, and what is an example of something you've taken ownership of without being asked?
We're less interested in receiving the perfect resume than we are in finding the right person.
