Full Job Description

Position Overview

Steinlage Insurance Agency is seeking a highly organized and personable Scheduler / Appointment Coordinator to manage appointment setting, calendar coordination, and client communication for our growing Medicare and health insurance agency.

This role serves as the first point of contact for many prospective and existing clients. The ideal candidate is professional, detail-oriented, comfortable on the phone, and capable of managing multiple priorities while ensuring a positive client experience.

Key Responsibilities

Make outbound calls to prospective and existing clients to schedule appointments.
Answer inbound calls and assist clients with scheduling needs.
Coordinate and manage advisor calendars to maximize appointment efficiency.
Confirm appointments and follow up with clients regarding upcoming meetings.
Reschedule appointments as needed and communicate schedule changes promptly.
Maintain accurate records within the agency CRM.
Track appointment activity and scheduling metrics.
Ensure client information is entered accurately and updated as needed.
Communicate professionally with clients, advisors, financial professionals, and referral partners.
Assist with administrative projects and office support duties as assigned.

Qualifications

Required

Strong verbal and written communication skills.
Comfortable making and receiving a high volume of phone calls.
Excellent organizational and time-management abilities.
Strong attention to detail and accuracy.
Ability to follow established processes and scripts.
Proficiency with Microsoft Office and web-based software.
Positive attitude and professional demeanor.

Preferred

Previous appointment setting, scheduling, customer service, receptionist, or administrative experience.
Experience using CRM systems.
Experience working in insurance, healthcare, financial services, or a professional office environment.
Experience managing calendars for multiple team members.
