Full Job Description

POSITION PURPOSE

The Customer Service Representative (CSR) plays a vital role in managing client interactions, coordinating dispatch operations, and generating proposals for HVAC services. This position is responsible for ensuring customer satisfaction by providing prompt, professional, and accurate responses to customer inquiries and coordinating with the HVAC team to deliver high-quality service.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Customer Interaction:

Handle inbound and outbound calls in a high-volume call center environment.
Address customer inquiries, complaints, and service requests professionally and efficiently.
Provide customers with accurate information regarding HVAC services, pricing, and scheduling.

Dispatch Operations:

Coordinate daily dispatch of HVAC technicians, ensuring timely and efficient service delivery.
Monitor technician schedules, adjusting as necessary to accommodate emergencies or high-priority requests.
Communicate with technicians throughout the day to track job progress and address any issues that arise.

Proposal Creation:

Prepare and deliver accurate, detailed proposals for HVAC services based on customer needs and company pricing structures.
Collaborate with the HVAC sales and service teams to gather necessary information for proposal development.
Follow up with customers on proposals, answer any questions, and close sales opportunities.

Data Management:

Maintain accurate records of customer interactions, service requests, and proposals within the company’s service management system.
Update customer profiles with new information and ensure data integrity.

Team Collaboration:

Work closely with the CSR Manager, Service Manager, Sales team, and HVAC technicians to ensure seamless communication and service delivery.
Actively participate in team meetings to discuss customer feedback, service and departmental improvements, and operational challenges.

Additional Duties:

Assist with administrative tasks as needed, including addressing email correspondences, billing inquiries, scheduling, and reporting.
Stay informed about HVAC industry trends, company services, and pricing to provide knowledgeable support to customers.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

Education:

High School Diploma or equivalent; additional education or certifications in customer service, business, or related fields is a plus.

Experience:

Minimum of 2 years of experience in a customer service role, preferably within the HVAC industry or a similar technical service environment.
Experience using service management and dispatch platforms; proficiency in ServiceTitan preferred

Skills:

Strong verbal and written communication skills.
Excellent organizational and multitasking abilities.
Proficiency in service management systems, dispatch platforms, and Microsoft Office Suite (Word, Excel, Outlook).
Ability to work in a fast-paced environment and handle high call volumes.
Problem-solving skills and a customer-centric approach.

WORK ENVIRONMENT

Primarily an office setting with Monday – Friday, 8:00 am – 4:30 pm working hours, and a 30-minute lunch period

Frequent use of computers, phones, and other office equipment.

Pay: Up to $22.00 per hour

Expected hours: 8.0 per week
