Full Job Description

Minimum Requirements

At least five years of professional experience in the government contracting industry
Strong familiarity with the GovCon market, companies, executives and federal customers
Ability to work in person at our Fairfax, Virginia office two days per week
Reliable availability for approximately one evening event per month.

This is a hybrid position, not a remote role. Candidates who cannot consistently meet the in-office and evening-event requirements should not apply.

This role is centered on managing event logistics, attendee communications, registration materials and on-site execution for WashingtonExec events in Fairfax, Virginia, and Tysons Corner, Virginia.

The coordinator will also support media-related efforts by working closely with the media team on executive coverage, promotional opportunities, LinkedIn advertising, executive-hire announcements, videos, profiles, and other WashingtonExec content.

This is not a standalone media or interview-coordination role. The priority is keeping event operations organized while remaining closely aligned with the media team.

Key Responsibilities

Event Coordination & RSVP Management

Track RSVPs, attendee confirmations, waitlists, and guest lists through Outlook and internal tracking systems.
Maintain accurate event data, attendee details, and event communications.
Prepare name badges, name tents, executive bios and other event collateral.
Send post-event thank-you communications, attendee surveys, and follow-up materials when applicable.
Ensure materials and attendee information are accurate and ready before each event.

On-Site Event Support

Support WashingtonExec events throughout Fairfax, Virginia, and Tysons Corner, Virginia.
Staff the registration desk, welcome attendees, manage check-in, and resolve basic guest-list issues.
Support events with 10 to 100 attendees, including events with multiple dinners or speakers occurring at the same time.
Help ensure each event runs smoothly from setup through post-event wrap-up.
Be available for approximately 24 evening events annually, generally averaging two per month. No evening events are held in August.

Media Team Support

Work closely with WashingtonExec’s media team to support executive and company visibility efforts.
Assist with promoting executive hires, company announcements, awards, profiles, videos, and WashingtonExec content.
Support LinkedIn advertising and digital promotion initiatives.
Help organize media-related materials, maintain internal tracking, and ensure information is accurate for the media team.

Qualifications & Skills

2–4 years of experience in event coordination, communications, media support, public relations, executive support, marketing, or a related field.
GovCon, federal contracting, government, or professional-services experience preferred.
Strong organizational, written and verbal communication skills.
Professional, reliable, and comfortable working with executives, speakers, attendees, sponsors, and internal staff.
Highly Proficient in MS Outlook, Excel, Word, and PowerPoint.
Experience managing schedules, calendars, spreadsheets, attendee lists, and event materials.
Familiarity with LinkedIn, LinkedIn advertising, digital content promotion, and executive communications preferred.
Reliable transportation and ability to travel locally to Fairfax and Tysons Corner events.
