Who We’re Looking For

We are seeking a highly organized, detail-oriented, and self-driven professional with strong accounting-related administrative experience who can manage financial documentation, invoicing, payment auditing, data entry, and day-to-day operational support within a fast-paced business environment.

This position is ideal for someone who thrives in an entrepreneurial setting, enjoys balancing administrative and financial responsibilities with business development support, and can confidently manage multiple priorities simultaneously.

The ideal candidate will possess strong organizational skills, excellent attention to detail, and the ability to work independently while supporting company leadership across accounting administration, logistics coordination, procurement, and business development activities.

A background in accounting, business administration, finance, biology, chemistry, environmental science, or a related field is preferred. Experience within chemicals, commodities, environmental services, construction, transportation, demolition, recycling, or industrial operations is considered a strong advantage.

We are looking for someone professional, proactive, dependable, and capable of contributing both operationally and strategically to a growing company.

Position Overview

As the Business Development & Accounting Administrator / Assistant to VP of Business Development, you will work directly with senior management to support a broad range of operational, administrative, financial, procurement, logistics, and business development activities.

This role combines traditional business development responsibilities with accounting and administrative support functions, making it ideal for someone who is both analytical and operationally minded.

You will play an important role in helping the company identify growth opportunities, maintain organized financial records, coordinate supplier and customer relationships, and support day-to-day operations.

Key Responsibilities

Business Development & Competitive Bidding

Prepare, organize, and submit bid documentation including RFPs, RFQs, IFBs, and vendor registrations.
Research and identify public and private sector bidding opportunities nationwide.
Submit Requests for Information (RFIs) and communicate with procurement officers and contracting agencies.
Assist with proposal writing, bid tracking, document management, and compliance review.
Support marketing initiatives, outreach campaigns, and strategic business growth efforts.
Maintain organized records of contracts, opportunities, and vendor registrations.

Procurement & Supplier Coordination

Research manufacturers, suppliers, and distributors for chemicals, commodities, industrial products, landscaping materials, and related goods.
Request and evaluate pricing quotations from vendors and suppliers.
Coordinate purchasing activities and maintain procurement records.
Build and maintain relationships with vendors, subcontractors, and transportation providers.
Assist in negotiating pricing, lead times, and supplier arrangements.

Logistics & Operations Coordination

Coordinate transportation schedules and deliveries between suppliers, subcontractors, drivers, and customers.
Monitor shipment schedules and communicate updates to all parties involved.
Resolve delivery or scheduling issues quickly and professionally.
Maintain organized logistics documentation and operational records.

Accounting & Administrative Support

Perform accounting data entry and maintain accurate financial records.
Assist with customer invoicing, subcontractor invoicing, supplier invoices, and payment processing.
Audit invoices, purchase orders, weight tickets, delivery tickets, and payment records for accuracy.
Track accounts payable and accounts receivable documentation.
Assist with payment reconciliation and internal financial reporting.
Maintain organized electronic and physical filing systems.
Support administrative operations and assist management with various day-to-day business tasks.
