Job Summary

We are seeking a dynamic and detail-oriented Billing Specialist/Administrative Assistant to join our team. In this vital role, you will manage billing processes, ensure accurate coding, and support administrative functions within our medical office. Your proactive approach will help streamline billing operations, improve revenue cycle management, and enhance client satisfaction. This position offers an engaging environment where your expertise in office administration will make a meaningful impact every day.

Duties

Review and verify case note records for completeness and correctness to facilitate precise billing and coding.
Manage accounts receivable by following up on unpaid claims, processing payments, and resolving billing discrepancies through effective communication with fund sources
Maintain detailed documentation of records, billing transactions, and collection efforts
Assist with administrative tasks such as scheduling appointments, managing client files, and handling correspondence to support smooth office operations.
Ensure compliance with fund source regulations and billing standards while maintaining confidentiality of sensitive client information.
Support the team with general office duties including data entry, filing, and inventory management of office supplies.
Coordinate and schedule appointments, meetings, and events
Manage office budget and expenses, including invoicing and financial record keeping
Experience in medical billing (Medicaid)
Invoicing and AR tracking in QuickBooks
Work directly with the Leadership team for data compilation, travel, event planning, etc.

Qualifications

QuickBooks experience
Strong understanding of office procedures, records management, and insurance claim processes.
Proficiency in EMR (Electronic Medical Records) systems and EHR (Electronic Health Records) platforms
Excellent organizational skills with attention to detail to ensure accuracy in coding and billing tasks.
Ability to communicate effectively with fund sources, clients, and team members to resolve issues promptly.
Prior medicaid billing is a plus
