Full Job Description

Senior Administrative Assistant

Our client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for an Administrative Services Assistant with experience in providing administrative support for programs, projects and overall office functions for their Portland, Oregon or Vancouver, Washington location. This person provides a wide variety of professional and confidential administrative/clerical tasks as well as data entry and tracking.

Pay Rate: $36.04 hr., DOE

Location: Vancouver, Washington – ONSITE

Key Responsibilities for Senior Administrative Assistant:

Greet and screen visitors; address questions, take messages, set appointments, or refer visitors.
Create, draft, edit, and proof documents, correspondence, and presentations using MS Office Suite and Adobe Acrobat.
Establish, maintain, and administer SharePoint organization, team and other meeting/project sites including setting up document repositories, calendars, workspaces, and tracking lists. Assist with content and permissions.
Attend meetings, record minutes, transcribe and disseminate as needed.
Maintain a tracking system of action items to verify timely compliance with scheduled responses or actions. Alert manager of any concerns or response delays.
Establish and maintain internal and external communication channels to coordinate smooth flow of information and positive working relationships.
Proactively organize, plan, prioritize, coordinate, and verify managers’ daily Outlook calendars and schedules including commitments of time.
Register, schedule and arrange meetings, conferences, and training, including associated logistics and any necessary equipment and materials (securing rooms, phone bridges, projection equipment, etc.).
Verify completion of all required training for employees and managers by communicating what training is due, how to obtain training, submitting external training requests, and tracking training completion status.
Complete appropriate new employee on-boarding activities and retirement documentation.
Arrange travel (domestic and foreign), such as airline arrangements, hotel accommodations, and rental car and shuttle reservations.
May coordinate or assist with organizational and events such as: presentations, retirements, project, or employee recognition celebrations.

Requirements for Senior Administrative Assistant:

High school diploma or equivalent is required.
Associates Degree in Secretarial Science, Administrative Management or related field is preferred.
6 years of demonstrated administrative/clerical experience is required.
4+ years of relevant work experience in administrative support functions with Microsoft Office Suite programs such as Word, PowerPoint, Excel, and Outlook (Microsoft Office 2010 proficiency required).
Intermediate to advanced experience with SharePoint sufficient to: support, manage, edit and maintain site.
Advance data entry skills is required. (Position requires above average computer and typing skills to coordinate calendars, schedule meetings, and record and distribute meeting notes.)
Excellent communicative skills to interface with Executive Managers, customers, and various staff members.
Previous knowledge of office procedures governing correspondence control and preparation, communication channels and records management is preferred.
