Customer Service & Order Entry Representative – Athletic Uniforms
Reports to: Sales Office Manager
Position Summary
Powers Manufacturing Company is seeking a Customer Service & Order Entry Representative to support dealers, customers, and sales representatives in the team sports industry. This office-based role manages routine customer communication and order administration from initial intake through complete, accurate entry into the company’s ERP system.
The position answers questions using approved pricing, published product information, standard options, and current order records. It also identifies missing or nonstandard information, obtains clarification, and escalates questions outside established procedures before making commitments. The successful candidate will combine responsive service with careful review of customized athletic uniform and team apparel orders.
Essential Duties and Responsibilities
· Respond by phone and email to routine questions about approved pricing, published specifications, standard product options, anticipated ship dates, and order status.
· Receive orders through the company’s online uniform builder and other approved methods; review order details, purchase orders, artwork, rosters, approvals, and supporting documents for accuracy and completeness.
· Identify missing, conflicting, or unclear information and obtain the required customer or sales-representative clarification and approval before ERP entry.
· Enter customized athletic uniform and team apparel orders accurately and in accordance with established procedures.
· Develop enough product knowledge to explain approved facts and standard options accurately and to recognize when additional review is required.
· Recognize and route nonstandard requests, including a design or logo placement not offered through the builder, without promising approval, pricing, capability, or delivery timing.
· Provide complete information when requesting internal review, track open questions, and resume customer follow-up and order administration after the required decision is documented.
· Support sales representatives with reliable order information and appropriate customer follow-up.
· Maintain clear records of customer communications, order information, approvals, and supporting documentation in the company’s shared systems.
· Complete invoicing, recordkeeping, data entry, and other administrative work related to order processing and coordinate accurate handoffs with other departments.
· Protect confidential customer, company, and pricing information and perform other job-related duties as assigned.
Required Qualifications
· High school diploma or GED.
· Previous customer service, order-entry, administrative, or related work experience.
· Strong attention to detail and a consistent commitment to accuracy.
· Clear, professional written and verbal communication skills.
· Ability to organize multiple open responsibilities and work independently within standardized procedures.
· Sound judgment about when clarification, specialized review, or approval is required.
· Basic computer proficiency and the ability to learn company-specific software and ordering systems.
· Willingness to build practical product knowledge and maintain a professional, service-oriented approach with customers and coworkers.
Preferred Qualifications
· Associate’s or bachelor’s degree.
· Two or more years of customer service, order-entry, inside-sales support, or administrative experience.
· Familiarity with team sports, athletic uniforms, customized apparel, or sporting-goods dealers.
· Experience with order-management, ERP, CRM, shared-inbox, or online-ordering systems.
