Full Job Description

Overview

Capri College is seeking a friendly, professional, and highly organized Front Desk Receptionist to join our team. The front desk is the communication hub of our school and salon/spa clinic and plays an important role in creating a positive experience for everyone who walks through our doors.

As one of the first people our guests interact with, the Front Desk Receptionist should have a warm, welcoming, and kind demeanor while maintaining a professional appearance and attitude. You will greet individuals visiting the school, including salon and spa clients, prospective students, current students, families, vendors, and other guests.

This is a fast-paced, multitasking position. The ideal candidate enjoys working with people, communicates well, stays calm under pressure, and can confidently manage several responsibilities at the same time. At any given moment, you may be answering multiple phone lines, greeting a guest, checking in a client, assisting a student, scheduling an appointment, or processing a client's checkout.

Key Responsibilities

Warmly greet and welcome salon/spa clients, prospective students, current students, families, and other visitors entering Capri College.
Create a positive and professional first impression of the school through friendly, attentive customer service.
Answer and manage multiple phone lines using professional and courteous phone etiquette.
Check clients in for scheduled salon and spa services and communicate with students and instructors regarding client arrivals.
Check clients out following services, accurately processing payments and completing transactions.
Schedule, reschedule, and manage client appointments while maintaining accurate scheduling books.
Assist clients with questions regarding appointments, services, pricing, and general school information.
Assist students with front-desk-related questions and needs while appropriately directing more complex concerns to the correct staff member.
Manage multiple activities and interruptions while remaining organized, friendly, and professional.
Communicate clearly with students, instructors, administrative staff, and clients to help clinic operations run smoothly.
Maintain an organized, clean, and professional front desk and reception area.
Assist with clerical and administrative duties as needed.
Help maintain accurate client information and records while respecting confidentiality.
Support the overall daily operations of the school and student clinic as part of the Capri College team.

The ideal candidate will have:

A genuinely friendly, welcoming, and kind personality with a strong commitment to customer service.
Professional communication skills and the ability to interact positively with people of different ages and backgrounds.
The ability to remain calm, patient, and professional during busy or stressful situations.
Strong multitasking skills and the ability to move between phone calls, clients, students, scheduling, and other responsibilities without losing attention to detail.
Excellent organizational and time-management skills.
Strong attention to detail and accuracy, particularly when scheduling appointments and processing transactions.
Confidence using computers, scheduling software, email, and general office technology.
Experience answering multi-line phone systems or working in a busy reception environment is preferred.
Previous customer service, receptionist, salon/spa, hospitality, or administrative experience is preferred.
The ability to work collaboratively as part of a team and communicate effectively with instructors, students, administrators, and other staff members.
A dependable and flexible attitude with a willingness to assist where needed.
