Job Summary

We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your energetic approach and organizational skills will help create a positive first impression for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a professional and vibrant work environment.

Duties

Greet visitors and clients warmly, ensuring a positive first impression and guiding them appropriately
Answer multi-line phone systems promptly and professionally, directing calls efficiently
Manage appointment scheduling and calendar coordination using productivity software and Google Workspace tools
Handle data entry, filing, and document proofreading with accuracy and attention to detail
Maintain office supplies inventory, organize files, and oversee general clerical tasks such as photocopying and scanning
Support office management tasks including organizing meetings, preparing correspondence, and managing spreadsheets in Microsoft Office applications
Assist with client communication and customer support to ensure excellent service experience

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, email management, and collaboration
Strong computer literacy with experience in data entry, filing systems, and clerical procedures
Excellent phone etiquette with the ability to operate multi-line phone systems confidently
Bilingual abilities are highly desirable to serve diverse client needs effectively
Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Experience with office management software such as QuickBooks or similar accounting tools is a plus
Demonstrated customer service skills with a friendly demeanor and professional communication style
Strong time management skills to handle multiple responsibilities simultaneously while maintaining accuracy
Technical proficiency in using productivity software, spreadsheets, and word processing tools for various administrative functions
Personal assistant or front desk experience that showcases reliability, professionalism, and attention to detail
