Full Job Description

Strong operations start behind the scenes. Maloney Property Maintenance, LLC is hiring a detail-oriented Office Administrator to support office operations, customer communication, scheduling, and financial tracking for a growing landscaping company.

This role is ideal for someone organized, dependable, and comfortable balancing administrative support with bookkeeping responsibilities in a fast-paced environment.

What You'll Get

Salary Range: $40,000 – $45,000

Compensation:

$40,000 - $45,000 base salary

Responsibilities:

Serve as the primary point of contact for customers by answering phone calls, emails, and inquiries in a professional and timely manner
Coordinate scheduling for landscaping projects, maintenance services, estimates, and customer appointments
Maintain accurate customer records, work orders, and project information
Assist with payroll and bookkeeping tasks
Coordinate communication between customers, field crews, vendors, and management to ensure projects stay on schedule
Monitor office supplies and place orders as needed to keep daily operations running smoothly
Organize and maintain both digital and paper filing systems
Support the owner and leadership team with administrative projects and day-to-day office operations

Qualifications:

Strong organization and communication skills
Ability to work independently while also collaborating effectively with a small team
Dependable, self-motivated, and able to manage responsibilities with minimal supervision
Comfortable answering phones, communicating with customers, and providing exceptional service
Experience with QuickBooks or similar software preferred

Professional, reliable, and team-focused
Bookkeeping or administrative experience is a plus
Previous experience supporting a landscaping, construction, property maintenance, home services, or trade business is helpful but not required.
