Job Summary
We are seeking a dynamic and highly organized Financial Advisor Office Manager to lead the administrative operations of our financial advisory team. This role is essential in ensuring smooth office functioning, supporting client interactions, and managing financial and administrative tasks with precision and professionalism. The ideal candidate will possess a strong background in office management and finance, combined with exceptional communication skills and a proactive approach to problem-solving. Join us to help create an efficient, welcoming environment where clients feel valued and staff are empowered to succeed.

Responsibilities

Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for advisors and staff
Manage client communication, appointments, and follow-up to ensure excellent customer service experiences
Handle vendor management tasks such as coordinating supplies, services, and maintaining professional relationships with external partners
Maintain accurate bookkeeping records using accounting software like QuickBooks; perform routine reconciliations and financial data entry
Assist with budgeting processes by monitoring expenses, tracking commissions, preparing reports, and ensuring financial compliance
Support human resources functions including file management, and confidentiality of sensitive information
Maintain complaince with industry and regulatory requirements by assisting with audits, licensing updates, and regulatory reporting.
Ensure compliance with office policies and procedures while maintaining high standards of organization through filing systems and document management

Qualifications

Proven experience in office management or administrative roles within a financial or office setting
Strong understanding of financial advisory or insurance office operations
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with advanced spreadsheet skills for budgeting and reporting
Familiarity with accounting software such as QuickBooks or similar financial tools; experience with bookkeeping and basic accounting principles required
Excellent communication skills—both verbal and written—with a professional phone etiquette style
Ability to handle confidential information discreetly while demonstrating strong organizational skills
Experience with vendor management, event planning, calendar management, and multi-tasking across diverse responsibilities
Technical proficiency in office equipment such as multi-line phones, fax machines, printers, and medical or financial software applications
