Overview
We are seeking a dynamic and friendly Front Desk professional to be the welcoming face of our organization. This vital role involves managing front office operations with enthusiasm, ensuring smooth communication, and providing exceptional customer service. The ideal candidate will be highly organized, tech-savvy, and able to handle multiple responsibilities with professionalism and a positive attitude. Join us to create a warm, efficient environment that sets the tone for all visitors, clients, and team members.

Duties

Greet visitors, clients, and staff warmly and professionally, creating a positive first impression.
Answer multi-line phone systems promptly and courteously, directing calls accurately and efficiently.
Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office.
Handle incoming and outgoing correspondence, including emails, mailings, and deliveries with precision.
Maintain organized filing systems, data entry records, and ensure all documentation is accurate through proofreading and clerical oversight.
Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and document preparation.
Provide customer support by addressing inquiries promptly and assisting with administrative needs as they arise.

Qualifications

Proven experience in office management or administrative roles with strong clerical skills.
Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
Strong organizational skills with the ability to prioritize tasks effectively using time management techniques.
Exceptional phone etiquette skills for handling multi-line phone systems professionally.
Bilingual abilities are a plus to serve diverse client needs effectively.
Previous experience as a receptionist in medical or dental settings is advantageous but not required.
