Full Job Description

Position Summary : Under the direction of the Materials Management Director or designee, the Surgical Materials Coordinator is responsible for coordinating day-to-day supply chain operations that support Surgical Services. This position serves as a key liaison among the Operating Room, Materials Management, vendors, and clinical staff to ensure the timely and reliable availability of surgical supplies, implants, instrumentation, and equipment necessary to support safe, efficient, and high-quality patient care.

Education, Certifications/Licensure, and Experience:

Education: High school diploma or GED required. Knowledge of surgical and medical terminology is required.
Experience: Minimum of two years of experience in hospital operating room supply management, surgical supply distribution, or hospital purchasing of surgical equipment. Experience with inventory control systems is required. Proficiency with computer applications, including spreadsheets and word-processing software, is required.

Required Skills/Abilities:

Demonstrated ability to independently coordinate surgical operations while collaborating effectively with surgeons and operating room leadership.
Skill in managing vendors, implants, inventory analysis, and operational problem-solving, with the ability to lead process and supply improvement initiatives while assuming accountability for operational issues.

Essential Duties and Responsibilities

Coordinates procurement activities for surgical supplies, implants, instruments, and specialty products required for scheduled and emergent procedures.
Serves as the primary supply chain resource for Surgical Services, collaborating daily with surgeons, anesthesia, nursing leadership, sterile processing, and Materials Management.
Independently prioritizes and resolves supply shortages that may impact surgical schedules or patient care.
Coordinates vendor loaner instrumentation, consignment inventory, implant availability, and vendor support for surgical procedures.
Develops, maintains, and continuously improves OR PAR levels, preference card inventory, and supply utilization.
Monitors inventory levels and purchasing trends; identifies opportunities to reduce waste, standardize products, and improve inventory performance.
Reviews open purchase orders, backorders, and delivery delays; proactively communicates alternatives to clinical leadership.
Coordinates product evaluations, conversions, and implementation of new surgical supplies.
Reconciles implant utilization, consignment inventory, and vendor billing documentation with Finance and Surgical Services.
Assists with annual physical inventories and ongoing cycle counts within Surgical Services.
Ensures vendor compliance with hospital access policies, credentialing requirements, and infection prevention standards.
Maintains accurate purchasing, inventory, and vendor records utilizing computerized material management systems.
Generates reports and analyzes inventory and purchasing data to support operational decision-making.
Participates in performance improvement initiatives related to perioperative supply chain operations.
