Full Job Description

Job Title: AR/AP - Office Manager

FLSA Status: Exempt

Hours: Monday – Friday 8:00 AM – 4:00 PM

*Or as needed to complete tasks within deadlines*

The AR/AP Clerk position will:

Energetic team player who is committed to conducting business according to Legacy Materials’ Core Beliefs.

Duties and Responsibilities:

1. Multi-task in a fast-paced environment

2. Provide outstanding customer service

3. Preparing and posting cash receipts daily

4. Account receivables: prepare bi-monthly customer billings, statements and collections. Review and research customer changes or discrepancies.

5. Reconcile bank and operating activity balances on a monthly and annual basis

6. Accounts payables: gather, code, getting approval, and enter invoices. Work closely with President on when to pay vendors, cut and mail out payments. Reconcile accounts with vendor provided statements.

7. Preparing bank deposits

8. Preparing Profit and Loss and Balance Sheet on a monthly basis for the Board and as needed for Supervisors

9. Compilating, submitting, and paying Iowa Sales Tax through GovConnectIowa on a monthly basis

10. Regularly auditing financial transactions

11. Ability to work both alone and as a part of a team

12. Work closely with Insurance Company for GL/Work Comp Audits

13. Process and submit monthly MSHA Reports: Total Hours Worked/Incidents

Other Duties and Responsibilities:

1. Assist in maintaining Fixed Asset Records with Corporates Sage FAS Program

2. Provide back up for other Scale Operator or Quality Control

3. Maintain a safe and safety conscious work place

4. Know the identification of all aggregate/compost materials, product codes and truck types

5. Establish and maintain a positive working relationship with co-workers and other employees to promote quality image and pleasant working environment

6. Follows all M.S.H.A. guidelines and educates site visitors

7. Reports accidents/near misses to Supervisor

8. Serves as First Responder

9. Other duties as assigned

Physical Requirements:

· Work involving regular sitting, standing, walking, crouching, stooping, kneeling, pushing, pulling, and carrying heavy objects up to 50 lbs

· Extensive use of all fingers, both hands, arms, feet and legs

· Normal hearing and vision, with or without correction

Language Ability and Interpersonal Communications:

· Must have excellent written and oral communication skills in English

· Fluent in QuickBooks Desktop Required as well as Microsoft Office Suite (Word, Excel, Access, PowerPoint)

· Minimum of 5 years of verifiable prior experience required

· Knowledge of GAAP Accounting and ability to analyze and organize

· Ability to be assertive while projecting a caring attitude toward our customer and others

· Ability to follow instructions, complete assignments in a timely manner, and the ability to work cohesively within a team environment

Environmental Adaptability

· Work is performed in an environment with undesirable conditions: exposure to extreme heat and cold, odors, noise, dust, fumes, moving parts, electrical shock, burns, toxic agents

· Occupational hazards such as those generally associated with ongoing exposure to moving machinery/equipment leading to cuts, bruises, burns, strains, back injuries, and potentially more serious injuries

· A drug test and pre-employment physical required. Subject to random alcohol and drug testing while employed
