Membership and Involvement Coordinator

Position Summary
First Universalist Unitarian Church of Wausau is seeking a warm, organized, and dependable person to serve as our Membership and Involvement Coordinator.
The coordinator helps make UU Wausau a welcoming and connected congregation by supporting Sunday hospitality, greeting and following up with visitors, maintaining membership information, and helping people find ways to participate in congregational life.
This is a hands-on position that combines hospitality, relationship-building, volunteer coordination, and administrative work. The coordinator works closely with the minister and collaboratively with other staff members and congregational volunteers.
Primary Responsibilities
Sunday and Special-Service Hospitality
- Be present on Sunday mornings throughout the year to welcome visitors and connect with members.
- Set up, oversee, and clean up coffee hour following Sunday services.
- Arrange for volunteers to manage coffee hour when the coordinator is unavailable.
- Recruit and schedule ushers for Sunday services from September through early June.
- Arrange ushers and other hospitality support for selected special services, including Christmas Eve.
- Make sure hospitality volunteers have the information and supplies they need.
Visitors and Newcomers
- Greet visitors and provide basic information about the congregation.
- Remain available after services to meet newcomers and answer questions.
- Gather visitor contact information and maintain accurate visitor records.
- Make sure the minister receives the information needed for timely follow-up.
- Prepare and send welcome or thank-you cards and other routine communications.
- Help connect visitors and members with existing groups, programs, and volunteer opportunities.
Membership Support
- Arrange scheduling, registration, materials, and communication for newcomer gatherings and membership classes led by the minister.
- Maintain accurate and confidential membership, attendance, and involvement records.
- Update the church’s membership database.
- Prepare welcome materials and other membership resources.
- Provide routine membership information and reports as requested.
Staff Collaboration
- Attend staff meetings.
- Coordinate with the minister and other staff members on hospitality, membership, and selected congregational events.
- Refer sensitive concerns, policy questions, and situations requiring pastoral attention to the minister.
Qualifications
The successful candidate will have:
- A warm, welcoming, and approachable presence.
- Strong interpersonal and communication skills.
- Strong organizational skills and attention to detail.
- Reliability and consistent follow-through.
- The ability to work independently while also collaborating with staff members and volunteers.
- Comfort recruiting, scheduling, and supporting volunteers.
- Comfort using email, spreadsheets, databases, and basic office technology.
- Respect for confidentiality and appropriate professional boundaries.
- The ability to work well with people of varied ages, identities, backgrounds, beliefs, and abilities.
- Availability on Sunday mornings throughout the year and for occasional special services or events outside the regular Sunday schedule.
Experience in hospitality, volunteer coordination, community engagement, nonprofit work, church administration, or a related area is helpful but not required.
Familiarity with Unitarian Universalism is welcome but not required. The successful candidate must be comfortable supporting the mission and values of an inclusive and theologically diverse religious community.
