Job Summary
The Human Resources Generalist serves as the first point of contact for employees, applicants, supervisors, and visitors seeking HR assistance. This position provides exceptional customer service while performing a variety of administrative and operational HR functions including recruitment support, onboarding tasks, employee records administration, leave and benefits support, payroll processing, and responding to routine HR inquiries. The position applies HR policies, maintains confidentiality, and ensures accurate processing of HR transactions while supporting compliance with employment laws and College policies.
Essential Functions and Responsibilities
The following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily and successfully with or without reasonable accommodation.
Customer Service and Administrative
Serve as the first point of contact for employees, applicants, supervisors, and visitors.
Answer phones and greet visitors in a professional and welcoming manner.
Respond to routine HR questions or direct inquiries to the appropriate HR team member.
Provide excellent customer service while maintaining confidentiality.
Monitor and respond to inquiries received through the shared HR inbox.
Monthly reconciliation of bills/invoices and timely and accurate processing of payments.
Research and draft communications, prepare reports, and track data as directed.
Recruitment, Onboarding and Offboarding
Post job openings, process background and reference checks, prepare offer letters in Workday, and complete pre-employment administrative activities.
Support the onboarding process by completing Form I-9 employment verification, collecting required employment documentation, taking employee badge photos, and ensuring new hire records are accurately processed in HR systems.
Facilitate the offboarding process, including completing exit documentation, processing final payroll adjustments, and coordinating with IT and Facilities to deactivate employee access (e.g., badges, keys, and system credentials).
Provide departing employees with information on final pay, benefits continuation (e.g., COBRA), and other separation-related details to ensure a smooth transition.
Benefits and Leave
Respond to routine inquiries on employee benefits and provide support during open enrollment.
Assist employees with Family and Medical Leave Act (FMLA) requests by providing necessary paperwork, reviewing submissions, and approving leave in compliance with federal regulations.
Policies and Record Keeping
Conduct research, maintain confidentiality, and ensure compliance with federal, state, and local employment laws and regulations.
Review policies and practices to maintain compliance and ensure updates align with recommended best practices.
Maintain HR and employee files and records in document imaging software, including scanning and saving documentation.
Utilize Workday, the Human Resources Information System (HRIS), to maintain and update employee data.
Payroll
Process and finalize payroll, including reviewing timesheets, processing adjustments, reconciling payroll data, administering garnishments and taxes, transmitting payroll files to the bank, and completing all required post-payroll processing and reporting.
Minimum Qualifications Required
In limited circumstances, NTC may consider a combination of education, training, and experience which provides the necessary knowledge, skills, and abilities to perform the duties of this position.
Education: Associate's Degree (or Equivalent)
Associate degree in Human Resources, Business Administration, or a closely related field; Bachelor's degree preferred.
Experience: 3 Years
Additional Experience Information:
Proven ability to multitask effectively, supported by strong time management skills and a track record of high productivity.
Working knowledge of Human Resources Information Systems (HRIS), with experience in Workday, ADP, or ImageNow/Perceptive Content (document imaging) preferred.
Strong organizational and critical thinking skills, with a high level of accuracy and attention to detail.
Ability to prioritize tasks and perform effectively in a fast-paced environment.
Demonstrated strong work ethic, positive attitude, and initiative, with the ability to make recommendations within the scope of authority.
This position routinely handles confidential employee information and requires the ability to exercise discretion, maintain confidentiality, and demonstrate sound judgment in all interactions.
