Legal Assistant – Collections | Pre-Judgment Department

Location: Southfield, Michigan
Job Type: Full-Time | In-Person

Position Summary

Holzman Law PLLC is seeking an experienced Legal Assistant to join our fast-paced Collections Department. This position provides administrative and litigation support to attorneys and legal staff by managing court filings, maintaining case files, communicating with courts and clients, monitoring deadlines, and ensuring matters progress efficiently through the legal process.

The ideal candidate has experience in legal collections, thrives in a high-volume environment, demonstrates exceptional attention to detail, and can effectively manage multiple priorities while maintaining accuracy and professionalism.

Essential Responsibilities

· Answer and direct inbound telephone calls professionally and courteously.

· Monitor and respond to department email inboxes, including the Service email inbox.

· Prepare, file, and track Motions for Second Summons and Motions for Alternate Service.

· Prepare and mail Second Summons and Alternate Service packets via certified and first-class mail.

· Mail Proofs of Service and other legal documents to courts and appropriate parties.

· Review electronic Court Registers of Action and follow up on pending filings.

· Process Orders for Social Media and Email Service.

· Prepare and submit billing for filed motions and other billable court activities.

· Request checks and process payments for court filing fees, process server invoices, and GLCS invoices.

· Monitor and maintain the department’s 90-Day Diary to ensure timely follow-up on pending matters.

· Run daily and weekly diary reports in CLS Collection Master and complete all required follow-up actions.

· Generate and process Postals.

· Review and process GLCS Bad Address and Skip Tracing reports.

· Maintain accurate and up-to-date information within the firm’s case management and client systems.

· Provide timely client updates through client-directed systems and email.

· Stay current on judge-specific procedures, court rules, and protocol changes, and communicate updates to leadership.

· Communicate professionally with courts, clients, attorneys, process servers, and third parties regarding case status.

· Assist attorneys and the Leadership Team with clerical and administrative support.

· Cross-train and provide coverage for absent team members to ensure uninterrupted workflow.

· Assist with training and mentoring new employees.

· Maintain confidentiality while handling sensitive client and case information.

· Perform additional duties and special projects as assigned.

Qualifications

· Minimum of 1 year of Legal Assistant experience.

· Experience preparing Motions for Second Summons and Motions for Alternate Service preferred.

· Strong attention to detail with excellent organizational and time-management skills.

· Ability to prioritize multiple deadlines while maintaining accuracy.

· Proficiency with Microsoft Office, including Outlook, Word, and Excel.

· Experience navigating Michigan court systems, including MiFILE/TrueFiling and electronic court registers.

· Experience with CLS Collection Master software is preferred.

· Excellent verbal and written communication skills.

· Ability to work independently while contributing to a collaborative team environment.

· Positive attitude, strong work ethic, and willingness to learn.

Schedule

· Monday through Friday

· 8:00 a.m. – 4:00 p.m. or 8:30 a.m. – 4:30 a.m. or 9:00 a.m. – 5:00 p.m.

· Full-time

· In-person position located in Southfield, Michigan
